Market Range: 06 Hiring Salary: $19.67/ Hourly JOB SUMMARY/ESSENTIAL FUNCTIONS: The Administrative Program Support 1 provides administrative support to the Graduate Medical Education (GME) office and assists with the day-to-day functions of the GME office. This position provides guidance to the residency and fellowship programs.
Duties And Responsibilities
  • Manages the training verification process for the GME office.
  • Ensures residents are in compliance and registered for the Provider Enrollment, Chain, and Ownership System (PECOS).
  • Prepares salary verification letters for resident’s loan requests.
  • Oversees the clearance process for graduates and prepares files for scanning and storage.
  • Assists with the onboarding of new residents and coordination of the new resident reception.
  • Ensures compliance with all CMS contracts, affiliation agreements, and program letters of agreement in accordance with ACGME guidelines for all residency and fellowship programs.
  • Requests licensure exemptions for all residents and trainees annually from the TN Medical Board and maintains files for documentation of exemption.
  • Processes all resident/fellow conference travel reimbursement and ensures compliance with GSM and UT policy.
  • Training Program Liaison (TPL) for the ECFMG – ensures compliance with ECFMG requirements for residents/fellows applying for a J-1 Visa.
  • Processes insurance changes/updates for all residents and fellows.
  • Manages the process for ordering white coats, monitors the budget, and oversees the monogramming and distribution process for resident/fellow white coats.
  • Manages annual exiting process for graduates, including graduate certificates.
  • Assists with scheduling and employment paperwork of annual onboarding of new residents, including assisting with the planning of new resident/fellow welcome reception.
  • Schedules monthly meetings, including attendee reminders, room scheduling, writing/distributing minutes.
  • Provides administrative support to the DIO and the GME office, including assisting the GME staff members where needed, especially during peak times, first responder in answering phone calls and handling walk-ins for the GME office.
  • Performs other related duties as assigned.
Minimum RequirementsEDUCATION: High School Diploma or GED. (Bachelor’s Degree preferred.) (TRANSCRIPT REQUIRED)EXPERIENCE: Four (4) years of relevant experience; OR Bachelor’s Degree will be accepted in lieu of experience.

  • Proficiency with Microsoft Office, Excel, Word, and PowerPoint.
  • Ability to prioritize and meet deadlines and maintain a high degree of confidentiality.
  • Ability to be self-motivated and work well independently and as a team member.
  • Willingness to expand skills through additional courses or seminars.
WORK SCHEDULE: This position may occasionally be required to work evenings.
