Market Range: 06 Hiring Salary: $19.67/Hourly THIS IS A GRANT-FUNDED POSITION LOCATED IN KNOXVILLE, TENNESSEE . JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Program Support 1 assists with faculty appointments, evaluations, and promotions, conferences and resident lectures, coordinates lunches and special events, and assistance in the office with daily tasks, like answering phones and filing. This position also assists new faculty with preparing credentialing applications for the department.
Duties And Responsibilities
  • Processes faculty appointments for each division in the Department of Medicine by obtaining faculty personnel data, transcripts, and fellowship/residency verifications.
  • Updates the ongoing GSM Faculty Database in Excel.
  • Creates and sends faculty biographies for website updates and InTouch Newsletter announcements.
  • Contacts faculty to gather goals/accomplishments, updated CVs, and productivity forms.
  • Prepares faculty evaluations and processes promotions for the Chair of Medicine to review and revise.
  • Prepares PowerPoints for faculty meetings/conferences.
  • Schedules and arranges travel for GSM candidates for interviews; processes travel reimbursement (including newly hired GSM faculty); schedules interviews with candidates and faculty.
  • Maintains minutes of weekly cabinet and department meetings.
  • Collects mail, answers calls, and submits work order requests for GSM and 4 East.
  • Manages the Faculty Lounge and Small DOM conference room calendars.
  • Performs other related duties as assigned.
Minimum Requirements EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED) EXPERIENCE: Four (4) years of administrative or secretarial experience; OR an Associate’s Degree in a related field and two (2) years of administrative or secretarial experience; OR Bachelor’s Degree in lieu of experience.

  • Excellent computer skills including Word, Excel, and PowerPoint.
  • Ability to work independently with a diverse group of professionals.
  • Excellent written and oral communication skills.
  • Ability to multitask.
