The Institute of Translational Health Sciences (ITHS) is a $70M health research institute based at the University of Washington, with integrated partnerships with Fred Hutchinson Cancer Research Center and Seattle Children’s Hospital, and more than 20 other organizations engaged in health research across the WWAMI (Washington, Wyoming, Alaska, Montana and Idaho) region. The mission of ITHS is to accelerate the translation of scientific discoveries to the clinic and beyond to improve the health of people in our region today. We develop critical resources to help innovators move their discoveries forward. ITHS fosters innovative health research, sustains research resources, and provides education and career development programs. Research projects this position supports span all phases of clinical and translational research, focusing on the process of turning observations in the laboratory, clinic, and community into interventions that improve the health of individuals and the public (e.g., from diagnostics and therapeutics to medical procedures and behavioral changes).
The Training Program Specialist (payroll title: Program Operations Specialist) works with the Director of Education, TL1 and KL2 faculty, other ITHS colleagues, as well as administrators, faculty, instructors, and staff at the University of Washington, Fred Hutchinson Cancer Research Center, and Seattle Children’s to advance excellence in our structured training programs and to implement the ITHS strategic plan to achieve its goals.
DUTIES AND RESPONSIBILITIES
Operation of ITHS Structured Learning Programs:
  • With guidance from the Director of Education and TL1 and KL2 faculty, manage all aspects of structured learning program operations.
  • Under the direction of the TL1 and KL2 faculty and ITHS leadership, be knowledgeable of and interpret graduate school policies and procedures (e.g., enrollment/registration, graduate requirements) to advise trainees and scholars.
  • Be knowledgeable of and manage reporting procedures for NIH compliance.
  • Conduct recruitment for structured learning program activities through events, collaborations and contact.
  • Manage the application process and provide guidance for potential scholars and trainees, participate in the review under the direction of program leaders and assist with ranking applications; and coordinating applicant visits, interviews and selection process.
  • Work collaboratively with the ITHS Manager of Communications to maintain ITHS Structured Training Program web and marketing content.
  • Advise and guide scholars and faculty based on grant requirements for NIH, ITHS, and UW policies/procedures.
  • Assist in the preparation of NIH reporting documents for the KL2 and TL1 program.
  • Provides Key Education Program Support
  • Under guidance of the Director of Education, develop and implement policies and procedures to further the success of structured training courses and activities.
  • Implement methods to continuously improve the various program processes; identify solutions and implement mitigation strategies that align with strategic goals.
  • Ensure educational offerings adhere to ITHS standards for consistency and quality.
  • Independently understand, interpret, and implement major UW, CTSA, and NIH regulations, requirements, policies and procedures.
  • Support supplemental applications (NIH, or other) for structured training programs as needed.
  • Provide program management support for other ITHS education programs on an as needed basis.
  • Works closely with other programs and the leadership to ensure a strong cohesive team approach.
  • Other duties as assigned.
    Program and Curriculum Assessment and Evaluation:
  • Maintain internal and external databases with critical evaluation metrics concerning trainee, scholar, and alumni data as needed for reporting.
  • Work with the ITHS Evaluation program to assess impact of Structured Learning programs.
  • Under the direction of the ITHS Director of Evaluation, assess quality of training program curriculum and determine opportunities for improvement and growth.
    MINIMUM REQUIREMENTS
  • Bachelor's Degree in Education, Business, Health Sciences or equivalent.
  • Minimum of two years' experience in an education setting.
    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
    ADDITIONAL REQUIREMENTS
  • Demonstrated skill in managing structured learning programs in an academic institution.
  • Excellent written, verbal, and interpersonal communication skills with a variety of constituencies.
  • Must be highly organized, flexible and resourceful.
  • Familiar with the use of Learning Management Systems.
  • Experience with the use of instructional technologies such as web conferencing, video development, anti-plagiarism software, lecture capture, web page editors, graphic software, mobile learning and copyright.
  • Experience developing and maintaining clear, up to date, well-organized documentation.
  • Skilled development of reports, graphs, charts, and other visuals as required.
  • Ability to work independently and make decisions.
  • Ability to manage and prioritize multiple projects in a complex organization.
