Class VIII - $29,205 - full time / permanent position with UDESPA Benefits


MAJOR FUNCTION
: In accordance with established policies, procedures, perform efficiently and accurately the
detailed clerical, secretarial, and administrative functions to support the Department of Facilities Management.


ESSENTIAL FUNCTIONS
: The employee must have the ability to perform the following essential functions on a
timely basis, with or without reasonable accommodations.


Clerical, Secretarial, and Administrative Duties:

  • Answer phone calls, take messages, and handle correspondence.
  • Schedule appointments, meetings, professional development sessions, and interviews.
  • Type, prepare, and collate reports.
  • File various documents physically and digitally.
  • Manage and maintain databases.
  • Relay messages to various stakeholders, such as the Maintenance team, Administration, Schools, etc.
  • Maintain time and attendance records for Maintenance staff.
  • Work closely with the central payroll department to complete payroll.
  • Create requisitions, distribute and file purchase orders and process vendor invoices.

Work Order Coordination Duties:

  • Provide initial screening of incoming service requests.
  • Interact with Custodians, Principals, Mechanics, and other related parties to provide procedural support.
  • Maintain records in Facilitron, the Upper Darby School District’s Work Order Management System.
  • Collect vendor proposals for various work orders.
  • Maintain steady communication with Principals to ensure a high level of satisfaction.
  • Generate various work order reports and provide them to the Manager of Facilities and the Maintenance Foreman.

ADDITIONAL FUNCTIONS
: In addition to the foregoing essential job functions, the employee is required to perform the following additional duties, unless such a duty cannot be performed with or without reasonable accommodation.

QUALIFICATIONS
: To successfully perform this position, a person must be able to perform each primary duty
satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training,
skills, and/or ability necessary.

  • Organizational Skills: Must be able to properly categorize, file, and track documents in an orderly fashion.
  • Communication Skills: Must be able to listen to various concerns and respond professionally and courteously on
behalf of the Manager of Facilities.
  • Computer Skills: Proficiency in word processors, document scanners, databases, and other computer applications
needed. Training will be provided for programs used in the Upper Darby School District, such as eFinancePlus
and Facilitron.
  • Writing Skills: Must be able to write emails, messages, memoranda, and other documents with a good
understanding of grammar and syntax.
  • Minimum of a High School Diploma.

  • While performing the duties of this job, the employee is required to maintain a stationary position and move
about to access file cabinets, office equipment, etc.

  • The position requires the employee to constantly operate a computer and other office equipment, such as a copy
machine, fax, and printer.
  • Ability to lift and/or exert up to 20 lbs. of force to occasionally move objects.
  • This job requires the ability to observe, inspect, identify, and determine the accuracy of written documentation
and fine details.
  • The position requires meeting deadlines with severe time constraints, interacting with staff and the public, and
occasional irregular or extended work hours.
