We are seeking an experienced and outstanding Senior Manager of Scheduling Optimization for Oral and Maxillofacial surgery to join our team.

Position Summary:

In this position, you will provide leadership, oversight, and support to the various teams responsible for departmental operations and scheduling services for surgery patients. This includes, but is not limited to, scheduling optimization employees, surgeons, practice leaders, regional operations leaders, IT and telecom, and varying practice support center team members.

Essential Job Functions and Responsibilities:

  • Provide exceptional service to our partner practices by managing the day-to-day activities in our surgery scheduling optimization departments.
  • Lead, coach, and support team members in their professional development. This includes performance management, if necessary, as well as annual performance assessment.
  • Create and support employee morale, engagement, and a professional environment.
  • Supervise and ensure compliance with departmental policies and procedures.
  • Schedule staff coverage to ensure the company's best operations standards.
  • Produce and process surgery schedules and reports as they are requested by administrative staff, practices, patients, or clients.
  • Produce and manage surgery scheduler and practice reports on a weekly, bi-weekly, monthly and ad-hoc basis.
  • Meet with partner practices and departments to help determine priorities for the month.
  • Identify software issues and work closely with the IT and telecom team to open change requests to improve the functionality of the software.
  • Confer with IT and telecom to resolve technical problems related to facilities management, computers, and other office equipment.
  • Payroll management to include paid time off approvals.
  • Office supply ordering and inventory management.
  • Ensure that all daily duties within the scheduling team are conducted in an efficient and timely manner.
  • As needed, support the following functions.
  • Speak with surgeons, patients, or internal team members to schedule, remind, and follow up on appointments.
  • Email or mail reminders to customers or clients when appropriate.
  • Add, cancel, or amend appointments to the surgeon’s schedule.
  • Perform patient intake, including the completion and filing of all necessary records.
  • Resolve appointment conflicts for staff and customers or clients.

Qualifications and Skills

  • Effective communication skills and ability to relate to, communicate with, and influence at all levels of the organization.
  • Financial, KPI, and data outcomes acumen.
  • Computer and MS Office competency and effectiveness.
  • Demonstrated call center environment leadership with operational focus.
  • High EQ and leadership skills.
  • Ability to successfully multitask and solve problems quickly.
  • Ability to function effectively in a team setting.
  • Ability to effectively present information and respond to questions from surgeons, staff, patients, and leadership.
  • Project management experience to ensure department scales with growth goals and objectives.

Education and Experience

Bachelor's degree preferred. 5 years of leadership experience in a medical /dental environment; or equivalent combination of education and experience. Minimally 1 years of customer service and surgery scheduling/call center environment required.

Exceptional human relations skills to lead, motivate, and resolve conflict with a diverse workforce.

Ability to always maintain a professional demeanor. Ability to understand and respond to a dynamic, changing industry and metrics reporting.
