JOB DESCRIPTION The NYC office of Alston & Bird is conducting a search for an experienced Legal Administrative Assistant to assist attorneys in the Finance Practice Group. The Legal Administrative Assistant will support attorneys primarily based in the NYC office with a variety of administrative duties, listed below. The ideal candidate will thrive in a fast-paced and collaborate environment. ESSENTIAL DUTIES Strong word processing skills and ability to turn documents around efficiently and in a timely manner. Open new client matters and draft engagement letters. Heavy calendar management for internal and external meetings, client events, and travel. Coordinate travel and create detailed itineraries. Collaborate with the Business Development Team to plan client events. Using Chrome River, process expense reports in a timely manner for reimbursement. Enter attorney time records into the time entry application prior to deadlines. Assist with drafting and formatting legal memorandum and correspondence. Collaborate with the firm’s billing team to ensure client invoices are accurate and delivered. Proofread documents for grammatical and spelling errors and suggest necessary changes. Answer incoming calls for lawyers and redirect as needed. Handle incoming mail with confidentiality. Miscellaneous administrative tasks. ESSENTIAL SKILLS A minimum of three to five years of administrative experience in a law firm High school diploma is required; an Associate or Bachelor’s Degree is highly preferred. Exceptional administrative and word processing skills. Proficiency in Microsoft Suite, Chrome River, iManage, Adobe PDF, and Litera. Ability to work well independently while handling complex situations, analytical, and self-starters. Possess strong communication skills and ability to work with a wide spectrum of individuals. Desire to learn new applications, firm systems, policies, and procedures. Flexibility to work overtime during deal closures and heavy transactional periods. Possess the ability to organize and prioritize numerous tasks and complete them under time constraints. Maintain attention to detail, and the ability to concentrate and organize work. Possess good communication and interpersonal skills, along with an enthusiastic team player attitude and a strong work ethic. Able to proofread typed material for contextual, grammatical, typographical, or spelling errors is also needed. PHYSICAL EFFORTS Substantial movements of the wrists, hands and/or fingers. Standing, walking, and lifting. Hearing‑ability to receive detailed information through oral communication. Sitting most of the time. The salary range for this position is $88,000 to 105,000 and represents the firm's good faith minimum and maximum range for this role at this time of posting. The actual compensation offered to a candidate will be dependent on a variety of factors including, but not limited to, the candidate's experience and qualifications. This range is specific to our NYC office and may not be applicable to other locations.
