What are the responsibilities and job description for the Sales Administrative Assistant position at Vacation Myrtle Beach?

The Vacation Myrtle Beach resort group is seeking an experienced Sales Administrative Assistant with strong spreadsheet management skills using excel, who is proficient with Microsoft outlook and has the ability to multi-task, prioritize, stay highly organized in a fast-paced environment while interacting through email with a variety of departments with little supervision. This person will report to the Vacation Myrtle Beach Rental Program Specialist and will also work closely with the Corporate Director of Homeowner Relations, and the Chief Operating Officer of the company.

The responsibilities of this role include but are not limited to:

Sending emails, Tracking Information, Maintaining databases and Processing Contracts.

Reply to Sales Leads quickly by sending pre-written emails.

Reply to Email Alerts with pre-written emails to Real Estate Agents involved in sales process and track/add information on spreadsheet throughout the sales process.

Send Marketing Emails while tracking and coordinating marketing schedules and materials.

Process Contracts and other Documents generated through sales process.

Tracking, managing, and communicating with the RPS, the resorts, and the sales and marketing departments on internal processes.

Assisting the Director of Homeowner Relations on tracking of various resort processes and reporting

NO SELLING REQUIRED. This is a sales support role without much telephone, or in-person interaction required. You will primarily be sending pre-written emails, looking up information in a variety of databases and inputting/tracking information on spreadsheets.

The role will require the following skills:

High Proficiency in Excel and Microsoft Office (This is 90% of workload)

Highly Organized

Ability to Multi-task and Prioritize

Self-Motivated and Able to Work Independently, Quickly & Efficiently with little supervision

Able to follow processes in place and understand how moving parts relate to one another.
