As an Accounts Payable Manager, you will be responsible for managing the Accounts Payable function for our company and Accounts Payable staff members.

Responsibilities
- The main responsibility of this position is to manage the AP team.
- The role will also be responsible for overseeing the process for proper recording of vendor invoices and intercompany charges and costs, and corresponding payments.
- Ensure all AP processes are completed in an accurate and timely manner and in compliance with the appropriate terms and internal policies and controls.
- Prepare guidance, policies, and procedures for AP-Americas, and interpret application of global policies and procedures, working closely with the CFO’s team.
- Make recommendations for process improvements.
- Oversee processing of travel expenses and purchase vouchers of foreign subsidiary companies, as well as the US corporate offices.
- Oversee purchase orders and authorization forms process, ensuring that vendor invoices and all the relevant information and are in order.
- Oversee the accuracy of the AP team’s work.
- Ensure proper set up of vendors in Costpoint system and maintenance of reconciled records for accurate preparation of year-end Form 1099 reporting conducted by the AP team.
- Oversee general ledger reconciliation with the accounts payable sub-ledger.
- Oversee preparation of checks, ACH and wire transfers and ensure timely notices of payments to employees and vendors are provided.
- Oversee expense claims and credit card statements reconciliations.
- Ensure the AP team resolves and responds to vendors/suppliers and employees’ inquiries promptly and in a positive manner.
- Ensure maintenance of an organized electronic filing system and overall records management, preparing the company for any future audits.
- Assist with corporate, project and indirect cost audits, serving as the main POC for all AP inquiries.
- Oversee prepaid and advance accounts reconciliations.
- Formulate any reports as requested by Management, HR, or Finance.
- Make decisions within the limits prescribed by the company policies for the role.
- Any other duties as assigned by the supervisor, or senior leadership teams.
- Develops, implements and maintains systems, procedures and policies, including accounts payable functions to ensure adherence to company guidelines
- Manages monthly closing of financial records and posting of month-end information; ensures accuracy of financial statements
- Provides accounting assistance to project managers and operations staff; responds to financial questions/concerns to meet business needs
- Acts as a liaison between the company, government and external accountants to meet information needs and to ensure that proper information is maintained for historical purposes as it relates to the Accounts Payable function
- Trains and evaluates employees to enhance their performance, development, and work product
- Manages employees, including addressing performance issues, making recommendations for personnel actions, motivating employees, and rewarding employees through salary increases, promotions and awards that are within company guidelines and allocated budgets
- Bachelor’s Degree
- 7 -12 years of experience in Accounts Payable
- 3 years management experience
- 5 years of experience with Deltek Costpoint
- 5 years of experience in Government Contracting
- Extensive experience in full function of CostPoint Accounts Payable and GL Accounting including multi-currency entries and rate of exchange (ROE) controls
- Understanding of advanced accounting practices and procedures
- Experience with spreadsheet functions including highly skilled data handling, analytics and formatting and a thorough understanding of pivot tables and look up functions, with a preference for a power Excel user
- Excellent written and verbal communication skills in English
- Excellent managerial and staff mentorship skills with proven experience managing multi-member teams
- Exceptional level of attention to detail and accuracy, including continuous self-checking of all inputs and transactions
- Quick starter with proven ability to deal with complex issues regarding AP vouchers, vendors and employees
- Ability to work independently, operate as part of a team, and able to communicate in a polite and respectful manner at all times
- Ability to communicate effectively within different cultural contexts
- Excellent administration, organization, prioritization, and planning skills
- Proven experience using other Microsoft Office programs (in addition to the expertise in Excel)
