HEARTWAP Office Coordinator
General Description:
Assist the Energy Director in the administration of the Low Income Home Energy Assistance Program (LIHEAP), Heating Assistance Retrofit Task Weatherization Assistance Program (HEARTWAP) and all Energy Conservation Programs sponsored by local utility companies.
Some Specific Essential Duties Include:
· Responsible for the creation and tracking of LIHEAP and HWAP vendor contracts. Ensure all necessary paperwork is completed before initiation of contracted work.
· Responsible for collecting and processing vendors' payments.
· Ensure completion of contracted work and submit HWAP billing timely and in accordance with contract guidelines and database requirements
· Maintain all aspects of the HWAP, Eversource Gas and Electric, National Grid, and City of Chicopee budget.
· Able to Certify HWAP Emergencies that need to be processed to receive HWAP services.
· Inputs and updates information on Monday.com databases, and spreadsheets. (Eversource Gas and Electric, National Grid and City of Chicopee)
· Request payments to Eversource Gas and Electric, National Grid through the In Demand Platform, and Community Action Pioneer Valley databases.
· Perform other duties as assigned by the Energy Director or Assistant Energy Director.
General Requirements:
· Ability to successfully perform the essential functions of this job. Reasonable accommodations where possible, may be made to enable individuals with disabilities to perform the essential functions.
· 3 years experience in Social Service Programs or Business Administration or High School Diploma with five years experience in management-level Service Programs or Business Administration
· Demonstrated strong communication skills both oral and written
· Ability to interpret and implement Federal and State regulations, contracts, and guidelines
· Demonstrated strong mathematical, statistical, and computer skills
· Knowledge of local business community and area social service network.
· Possess a valid MA Driver’s license, reliable transportation, and the ability to travel to other sites.

Employees are also eligible to start the plan and contribute through payroll deductions after 30 days on the job.
