Title: Office Secretary – Thomas Jefferson Middle School


Job Goal: To assure the smooth and efficient operation of the school office so that the offices’ maximum positive impact on the education of children can be realized.


Qualifications:

  • Student-centered and people-oriented with a positive demeanor and attention to customer service
  • Strong written and oral communication skills, communicating effectively with people from varying ages and backgrounds
  • Maintains composure under pressure by positively adjusting to challenges and stress
  • Maintains composure under pressure with the ability to follow safety protocols during emergencies
  • Keep confidentiality in all matters related to student and personnel information
  • Ability to work with minimal direct supervision
  • Ability to pay close attention to detail
  • Proficient in Google applications, as well as Microsoft Office suite
  • Knowledgeable in or adaptable to web-based programs currently used, such as Google Suite, Canvas, Skyward, Indiana IEL (IIEP), etc.
  • Complete work in a timely manner to meet deadlines
  • Ability to multitask
  • Maintain high standards as a role model and professional while advocating the skills, mission and objectives of the school and district
  • Promote good citizenship, be understanding and fair, and display a character of integrity
  • Effectively communicate with students, parents, teachers, support staff, media, administrators and other groups within the community
  • Work in collaboration with other staff members, across all grade levels and departments, to enhance the learning experience for all students
  • Ability to sit in front of a computer for prolonged periods
  • Demonstrate necessary organizational and leadership skills
  • Willingness to cross train and be a team player
  • Comply with all district policies, rules, and regulations
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable
  • Education beyond high school preferred
  • Spanish speaking preferred


Job Responsibilities:

Customer/Student Service and Communications:

  • Answer phone and direct calls
  • Greet visitors and assist them in their needs
  • Greet and direct students to appropriate administrators
  • Prepare and send automated communications
  • Updates school website with important information including daily announcements, extra-curricular events, and other important information for public viewing.
  • Assist with summer school planning, forms, and communications
  • Create Attendance Reports
  • Maintain accurate records in Indiana IEP (IIEP)
  • Provide proofreading, editing, and typing services
  • Other duties as assigned

Data Entry and Maintenance in Skyward

  • Run Data Mine Reports
  • Update new staff, class periods, room numbers, etc in Skyward each year
  • Create and maintain Special Education Rosters in Skyward
  • Assist in all aspects of scheduling students into courses/sections, teams, lockers, etc for the upcoming school year.
  • Process all changes and adjustments in student schedules, parent/student address changes and contact information, and run periodic midterm and end of term grade reports.
  • Other duties as assigned


Reports To: Building Principal or designee

Terms: Base starting rate $17.18, 220 days per year, 8 hours per day
