Position Overview
The Director, People and Operations (POps) will help lead the day-to-day operations of the site, playing a critical role in ensuring staff and corps have the necessary tools and resources to drive student impact. This is the perfect position for a culture-loving, people-centered, detail-oriented, highly collaborative individual who is excited about building anti-racist, equitable operational policies and processes at a mission-driven organization that's partnering with AmeriCorps members, students, and schools to improve educational outcomes for youth in South Seattle.
Reporting to the Executive Director, the Director, POps will be responsible for the day-to-day management of all-office related issues such as: technology, finance and expense tracking (including processing of accounts payable and receivable), vendor relations, and facilities. They will also play a key role in our site culture and staff experience through hiring, onboarding, and partnering with the City Year HR team to support the Executive Leadership Team with personnel needs (accommodations, compliance, and performance management). Furthermore, they will lead and support with sitewide events throughout the year.

Annual salary for this role: $75,000
Responsibilities
Site Operations
  • Facilities and Office Management
  • Oversee all aspects of office management and space usage, including office management protocols, documentation, and communication related to office space, office equipment, common area maintenance, staff contact information and records, listservs
  • Maintain and improve operational processes and procedures to ensure the site runs smoothly and efficiently, including ensuring staff and corps are fully trained and comply
  • Serve as a resource to staff and AmeriCorps members regarding office operations questions and needs and ensure overall site compliance with HQ operational policies and practices
  • Ensure that the office is well equipped with office supplies and materials
  • Manage relationships with building management staff and vendors
  • IT
  • Oversee office IT equipment and systems (computers, printers, hotspot, etc.) in partnership with City Year HQ
  • Support maintaining City Year's content management system to ensure effective collaboration and information sharing
  • Lead special projects and change management initiatives including system and equipment upgrades
  • Other site operations
  • Serves as Site Operations and IT Point
  • Coordinate travel arrangements for staff and corps
  • Manage Orca cards for staff and oversee vendor relationship
Budget and Finance Management
  • Serves as Site Finance Point
  • Lead site annual budgeting process
  • Lead on budget tracking and monitoring for the site, ensure department heads can make strategic budget decisions throughout the year
  • Ensure staff understanding and compliance with City Year's finance, expense, and travel policies, including ensuring all expense reports, purchase card processing, and invoices are accurate and on time
  • Leads on invoice management and payments
  • Oversees purchase card process
Staff HR and Compliance
  • Serves as Site People Point
  • Serves as point person for staff benefits and HR policies and resources
  • Oversees site's Health and Safety processes
  • Leads on emergency preparedness for the site
  • Site lead on accommodations process, in partnership with department leadership and City Year HQ
  • Site lead on employee relations (personnel and performance issues), in partnership with department leadership and City Year HQ
  • Ensures compliance around staff HR trainings
Talent Acquisition
  • Partner with hiring manager to run fair and equitable hiring processes; builds staff capacity around effective hiring
  • Oversees site-level new staff onboarding, including reviewing I-9 documents, distributing office equipment, training new hires on office protocols and policies, assisting in orientation / onboarding of new hires, maintaining records, ensuring compliance with mandatory trainings
Corps Member Operations
  • Serves at Confirmed AmeriCorps Member (CACME) point, partners with Service Year Advisor on CACME engagement and compliance/background check onboarding
  • Support corps with understanding and navigating City Year benefits and HR policies and resources; serve as a point person for HR related policies and questions as needed
  • Collaborate with Impact Leadership to run monthly school contract report and provide to City Year HQ
Site Collaboration
  • Supports on site-wide events and service projects, including Opening Day, Graduation, Registration Day, MLK Day of Service, Ripples of Hope
  • Supports with AmeriCorps Member recruitment as needed
  • Serves as staff buddy for partner school
  • Facilitation at AmeriCorps Member trainings as needed; attendance and participation at required sessions
  • Collaborating as a team to share best practices
  • Supports with other site initiatives, e.g., corps and staff interviews, R&E work, staff meetings & trainings, telling the City Year story
  • Engaging and collaborating with the City Year national network
Supporting the Executive Director
  • Provide administrative support to the ED. This includes, but is not limited to, efficiently maintaining calendars, scheduling meetings and conference calls, arranging travel, writing meeting minutes, reviewing mail, and preparing presentations and speaking points for the ED.
  • Serve as the primary contact for individuals and organizations seeking information from the Executive Director, prioritize these incoming requests, and ensure outgoing communication is consistently timely and accurate.
  • Plan and prepare for internal and external meeting needs hosted by the Executive Director: reserve meeting rooms, arrange for appropriate Information Technology Services (ITS) support, inform reception of visitors in advance, arrange for meeting refreshments, welcome and escort visitors and ensure meeting rooms are left in exceptional condition.
  • Complete and submit check requests, purchase orders, purchase card requests, mileage and expense reimbursements on behalf of the Executive Director.

Compensation and Benefits
Compensation commensurate with experience; the starting salary for this position is $75,000
