Job DescriptionVendor Direct Solutions, LLC (VDS) is a market leader in law firm organization, information management, consulting, recruiting, and outsourcing. We are currently seeking a full-time Law Firm Administrator on behalf of a private employer in the Beverly Hills/West Los Angeles area.
The Law Firm Administrator will oversee non-attorney staff who perform a variety of clerical and administrative support tasks to facilitate the efficient operation of the law firm.
KEY JOB RESPONSIBILITIES: Human Resource Management:
  • Supervising office administrative team members
  • Recruiting: job design, hiring, onboarding
  • Training and development
  • Performance evaluations
  • Salary administration
  • Employee relations: motivation, counseling, disciplining, discharging/termination
  • Benefits administration
  • Worker’s compensation
Financial Management:
  • Budgeting for office operations and employee relations
  • Overseeing firm’s accounts payable and trust accounts
  • Other financial management functions as needed
Facilities and Office Services Management:
  • Space planning and design
  • Purchasing
  • Inventory control
  • Copy center functions, records management and storage, reception/switchboard services
  • Equipment purchasing/leasing
  • Housekeeping
  • Catering
  • Other facilities and office services management functions as needed
Other Management:
  • Working with the information technology and records management
  • Office automation and other systems management functions
  • Assists with special projects as needed
QUALIFICATIONS AND REQUIRED SKILLS:
  • Minimum 3 years office management experience. Hands-on medium/large law firm management strongly preferred.
  • Minimum 2 years of Human Resources knowledge and experience preferred.
  • Must have the ability to identify and analyze complex issues in management areas and be able to recommend/implement solutions.
  • Must have dynamic interpersonal skills and the presence to partner with all attorney and consulting professionals. Must also be able to maintain good interpersonal relations and communications with lawyers, consulting professionals, support staff and other peer managers/directors throughout the organization.
  • Excellent supervisory and leadership skills.
  • Strong written/verbal communication skills and good presentation/facilitation skills.
  • Proficiency with Microsoft Office Suite.
  • Bachelor’s degree in Human Resources, Business Administration, Finance or related field required.
