An exciting opportunity has arisen for a Sales Operations Representative to join our team on a 12 month contract in our Sales Operations department. 

This role is part of the Supply Chain function providing excellent customer experience within a global manufacturing environment. Our key focus as a business is delivering excellence in science, to our Customers, within Operations and our People shaping the world around us to make it a cleaner and healthier place

This is delivered through excellent organisation and communication skills with both internal and external customers, effective relationship management skills with customers and functions across multiple sites in UK & USA. Effective management of our short-term supply with support from Sales Operation Lead. Management of supply, orders and licence requirements as a team to meet agreed customer commitments. Delivering world class customer service.

Key responsibilities

  • Receive and acknowledge orders and process them in ERP system.
  • Apply for and acknowledge licences for controlled drugs ensuring all licences are valid.
  • Work as part of a team to drive and deliver excellent customer service and commercial business objectives.
  • Communicate with Home Office on status of licences.
  • Organise documentation internally and externally to comply with GDP requirements for all orders processed
  • Update and communicate to the relevant customer in timely manner on the status of and any changes to supply of orders.
  • Update, and communicate to sales team and other relevant internal departments, any alterations to immediate supply plan and customer orders for your region within immediate 3-month supply period.
  • Ensure good customer service by ensuring timely and effective communications with customers.
  • Follow all SOP’s relating to the department and update as necessary. Assist in writing / amending SOPs
  • Manage customer complaint process with customer service associate, including management of logging of complaints and coordination of responses back from QA department to the customer in a timely manner. 
  • Communicate regularly commercial department on relevant information relating to the department / customers / orders.
  • Prepare liaising with planning and demand planner / assist / drive Weekly Sales Review meetings and outputs.
  • Pepare Key Customer OTIF service delivery results and present during business calls with customers where relevant.
  • Prepare data for OTIF and Back Orders report
  • Attend Sales Operations Cell Meeting 
  • Any other reports requested by Sales Operations Lead
  • Arrange transportation for your regions orders to meet customer needs.
  • Ensure filing is kept up to date.
  • Liaise with Finance Department on possible debtors.
  • Provide cover for other regions for your colleagues during periods of annual leave 
  • Drive continuous improvement within the department.
  • Take on any other duties which are within the employee’s skills and abilities whenever reasonably instructed. 

What you need for the role

To succeed in this role you will have;

  • Ability to demonstrate knowledge and understanding of Sales forecasts, ERP systems and budgets, export documentation.
  • Excellent IT skills.
  • Excellent administration experience.
  • Managerial exposure. 
  • Good communication skills.
  • Attention to detail.
  • The ability to work in a team.
