Position Summary
The Executive Assistant will assist the Executive Team in all aspects of the executive roles within the firm. At Veridus, we believe our success is directly tied to the strength of the relationships we have built with Clients. Client-facing activities will include coordinating onsite meetings and greeting guests to meet with the Executive Team. The Executive Assistant will work with the Executive team to plan, maintain, and execute quarterly objectives, maintain schedules, perform the Duties and Responsibilities listed below and generally promote Veridus both internally and externally at the direction of the Executive Team.
The Executive Assistant will also be the first face at Veridus and will manage general administrative activities, such as prepping for Team and Client meetings and events, ordering and restocking supplies, taking notes and preparing documents to ensure the office is running smoothly.
Duties & Responsibilities
1. Embraces company culture and works hard to foster connectivity among the Veridus Team.
2. Establishes and coordinates onsite, offsite, and web-based meetings for the Executive Team.
3. Plans and attends the annual company retreat.
4. Coordinates and attends the annual Executive Team retreat.
5. Plans and coordinates the bi-annual financial/advisory board meetings.
6. Assists in the planning and execution of Veridus University and Veridus Leadership Development Series.
7. Plans and attends the annual Indianapolis Motor Speedway Fast Friday event.
8. Plans and attends the annual Veridus Christmas party.
9. Plans and attends the annual Veridus Open House.
10. Plans and coordinates additional internal events (i.e. 3rd Thursdays).
11. Coordinates with the Marketing Coordinator to plan and/or create event-related marketing materials.
12. Participates in updating the department “playbooks” and the employee handbook.
13. Assists Directors with scheduling and/or organizational needs.
14. Maintains the organization of the company file structure.
15. Tracks and responds to web-based inquiries.
16. Attends internal meetings to take notes.
17. Assists the Director(s) of Client Development in maintaining the Sales Pipeline.
18. Coordinates with the Marketing Coordinator to prepare the Executive Team for conferences.
19. Models company culture in and out of the office.
20. Responsive to clients and stakeholders, communicates effectively.
21. Team development/coordination/tracking/review.
22. Research/Due Diligence.
23. Exceeding client expectations.
24. Public Engagement when necessary.
25. Performs other duties, as required.
Qualifications
Expected Salary
Negotiable, dependent upon demonstrated ability and previous experience. Salary structure will consist of a base salary plus discretionary annual bonus based on company results.
