Victoria ISD is Hiring a District Instructional Materials Manager Near Victoria, TX

Primary Purpose:

To provide consistent, timely and error-free customer support and administrative support for Instructional Materials (IM) matters.


Qualification Guidelines:


Education/Certifications:

High School diploma or equivalent

Technical or college coursework (preferred)


Experience:

Has knowledge and work experience in public purchasing and accounting

Has experience using personal computers, network systems, and current digital devices

Has experience using Microsoft Word and Excel


Special Knowledge/Skills/Abilities:

Possess general office and secretarial skills and able to operate general office machines

Able to type 40 words per minute

Hold (or willing to obtain within 90 days of hire) a forklift operator certificate (training provided by district)

Able to demonstrate good human relationship skills and work well with others

Possess excellent communication skills (verbal and written)

Has knowledge of Destiny (district’s textbook and instructional materials system)

Has knowledge of E.M.A.T. (state instructional materials system) and the allotment


Supervisory Responsibilities:

NONE


Mental/Physical/Environmental Demands:

Tools/Equipment Used: Standard office equipment including personal computer and peripherals; fax machine; scanner; forklift, pallet jack, dolly, and stepping ladders

Posture: Continuous sitting/standing/bending/stooping/climbing/kneeling, pushing/pulling, and twisting

Motion: Repetitive hand motions including keyboarding and use of mouse; continuous reaching

Lifting: Continuous lifting and carrying (up to 50 pounds)

Environment: May work prolonged or irregular hours; occasional districtwide travel

Mental Demands: Work with frequent interruptions, maintain emotional control under stress


Major Responsibilities and Duties:

1. Answer telephone and greet customers.

2. Perform general office duties such as faxing, filing and copying.

3. Utilize, manage and organize the Destiny Textbook Manager system.

4. Barcode all district textbooks and materials and enter into the Destiny Textbook Manager.

5. Create titles, reports, transfers, lists and picture identifications in the Destiny Textbook Manager.

6. Write reports for district and campus use in Destiny Textbook Manager.

7. Control, assist, and audit annual campus textbook/instructional materials inventories.

8. Research Buy Board and The Cooperative Purchasing Network (TCPN) for district purchasing.

9. Reconcile textbook/instructional materials physical inventory quantities with automated records for audit purposes for warehouse and each campus in the district per state law.

10.Enter requisitions for purchases of textbooks, consumables and other department products and services.

11. Prepare reports, documents and forms pertaining to textbooks/instructional materials.

12. Correspond with TEA and vendors on pricing, product orders, and delivery information.

13. Receive deliveries from vendors and campuses.

14. Process surplus through TEA and prepare shipments.

15. Process Education for the Visually Impaired materials for ordering, receiving, and shipment.

16. Prepare receiving documentation and reconcile partial deliveries for textbooks/instructional materials.

17. Assist with all district/campus IM Coordinators meetings and correspondence.

18. Communicate, process and address all campus instructional materials issues.

19. Maintain Destiny for the warehouse and the district campuses.

20. Prepare and sort out-of-adoption textbooks and materials for shipment, sale, or credit.

21. Organize and maintain district textbook/instructional materials warehouse.

22. Prepare and arrange all shipments to and from the textbook/instructional materials warehouse.

23. Research, update, and order textbooks and materials from TEA, publishers, and vendors.

24. Process and complete all campus requests for textbooks and materials.

25. Prepare, maintain and file TEA reports and forms.

26. Maintain E.M.A.T. system for the district.

27. Assist with the district textbook adoption process.

28. Assist with the budgeting process for district Instructional Materials Allotment Funds from TEA.

29. Oversee $5,000,000 worth of Instructional Materials for the district.

30. Prepare disbursement process for instructional materials of the district for TEA.

31. Negotiate pricing, ordering, shipments, consumables, and all other issues with vendors.

32. Assist Central Supply Warehouse with receipt of deliveries, loading, unloading and organizing product deliveries.

33. Control all Instructional Material Allotment (IMA) Funds for the Juvenile Justice Center.

34. Attend and note all IMA Committee meetings within the district.

35. Maintain confidentiality.

36. Adhere to all federal, state laws and statutes and district policies and regulations.

37. Perform other related duties as assigned.
