View Point Health's Centerville Play Therapy & Resilience Training Center offers culturally, linguistically, and developmentally appropriate education & practice of resilience skills through play and family therapy focusing on infants through age 17 and their family. Program Support Assistant provides a variety of routine administrative support and clerical functions. Duties are performed in a fast-paced environment that requires abilities to demonstrate organization skills, professionalism, solution seeking skills, and motivation to serve the community.

The Program Assistant is the administrative liaison for a multi-faceted program under supervision of a program director and serves as primary contact and resource to program staff, clients, and visitors for administrative information and technical assistance. Responds to questions, requests, or needs based on specific knowledge of the program and its operations.

The Program Assistant is responsible for overseeing patient flow and ensuring the center’s administrative needs are being met. Resolves routine administrative problems independently and registers new clients during open access in a timely manner, check-in and check-out clients for their appointments, schedules hospital discharge appointments, and answer telephone calls in a professional and courteous manner. Verifies authorization, treatment plans, connects orders for service, consent, and eligibility for future appointments.

This position will maintain databases, logs, and other records of routine information. Responds to requests for information and maintains an organized and accessible filing system and follows confidentiality regulations regarding maintenance and release of file information. 

Duties & Responsibilities:

  • Make initial point of contact with clients and other visitors to promptly register or respond to routine questions, status updates, appointments; to include rescheduling and gathering any necessary information to direct questions to other needed program staff.
  • Answer and screens inbound calls, emails inquiries in a professional and courteous manner to provide clear and accurate program information, schedule appointments, and check voicemails.
  • Retrieves, screens and distributes incoming mail, program emails, and/or fax transitions. Prepares and sends outgoing documents that are accurate and complete following established procedures and confidentiality regulations.
  • Collects demographic and other program specific information (e.g. identification, insurance verification, consents, etc.) using the electronic health record to document communication and interactions with client and their family.
  • Check insurance, receive co-pays, send billing tickets.
  • Assists with logging and uploading pertinent client documents received from external outlets into electronic medical records, complete any necessary documentation or pending appointments to be scheduled.
  • Assists with launching and closing technology for telehealth visits.
  • Serves as health and safety designer (e.g. coordinates drills, submits form to safety committee).
  • Maintain communication between clients, clinicians, and supervisors.
  • Assist with maintaining office supplies and keeping work areas organized. 
 

Minimum Qualifications:

High school diploma or GED AND Two (2) years of general office or administrative experience

Preferred Qualifications:

  • Minimum one (1) year experience working in a medical/behavioral health or child and family serving organization setting.
  • Bilingual in Spanish and English
  • Experience using Carelogic or other electronic record systems.

Requirements/Competencies:

  • Must be able to lift 20 pounds.
  • Requires long periods of sitting/standing.
  • Must be able to respond quickly to sounds.
  • While performing the duties of this job, the employee is frequently required to sit, move about, hear and speak. 
  • Candidates for selection must pass a criminal background check (including fingerprinting)
  • Must pass a pre-employment drug screen and subject to random drug screens.
  • Any combination of training and experience, which would have enabled the applicant to acquire the necessary knowledge, skills and abilities Note: Some positions may require a valid driver's license.
