Vincennes University is Hiring an Intake coordinator Near Dundalk, MD

Class Description

The purpose of this class is to perform professional level administrative duties by coordinating the daily operations of student intake and assessments for the Adult Basic and Adult Secondary Education unit through the Consolidated Adult Education and Family Literacy Grant provided by Maryland Department of Labor.

Minimum Requirements

e., adult literacy, basic literacy, GED, ESOL) including teaching and administering standardized tests experience required.

The ability to work evenings as needed is required.

Compensation within the posted range is determined by a candidate's education level and / or years of experience in the field.

Generally, employees are hired in the lower third of the scale .

Class Specific Essential Duties

  • Coordinate a functional process within assigned College department or division.
  • Implement department programs or initiatives.
  • Monitor compliance with policies and procedures.
  • Maintain department records and files, as required.
  • Conduct and attend meetings, as required.
  • Supervise, advise, and evaluate assigned staff, as required.
  • Prepare, analyze and provide reports on miscellaneous subjects, as requested.

Position Specific Essential Duties

  • Ensure that the adult basic education (ABE / ASE) program implements an intake, assessment, and goal development system which documents all program learner goals and literacy level assessments.
  • Implement ABE / ASE program’s managed enrollment process including scheduling, course registration, managing and documenting wait lists.
  • Order, inventory and ensure security of testing materials.
  • Conduct and manage the implementation of ABE / ASE program’s orientation, intake and assessment process.
  • Hire and supervise assessment and intake staff
  • Develop and coordinate local policies and procedures for ABE / ASE assessment and placement of learners in appropriate level classes
  • Provide exceptional customer service while communicating with ABE / ASE learners, guardians, and instructors / tutors regarding assessments, placement, progress and attendance issues.
  • Work with the ABE / ASE Instructional Specialist and other program staff to address the special needs of enrolled learners, including individuals with disabilities.
  • Identify professional development needs for assessment and intake staff and coordinate activities to address those needs.
  • Prepare presentations, program-wide communications, reports, and trainings using high level skills in Microsoft Office, online class and meeting tools (, i.

e. TEAMS and ZOOM), and standardized testing software.

  • Refer or manage the referral of ABE / ASE learners to support services and / or outside agencies.
  • Assist with the development and execution of the program’s Data Quality Plan
  • Attend state Intake Assessment Specialists’ meetings and communicate and implement pertinent information to appropriate local program staff.
  • Attend state Train-the-Trainer initiatives, and subsequently train local ABE / ASE staff and adjunct faculty.
  • Train new ABE / ASE IAS in neighboring programs in the same geographic region, upon request.
  • Perform other duties as assigned based upon program demographics, enrollment trends, and the needs of target populations.
