The Event and Stewardship Coordinator reports to the Director of Medical Philanthropy Events, within the Office of Medical Philanthropy and Alumni Relations at VCU. This team serves to raise mission-critical funds for VCU Massey Comprehensive Cancer Center, VCU School of Medicine and VCU Health. The primary function of the position is to assist in the planning, execution, communication and success of fundraising and development events, primarily within VCU Massey Comprehensive Cancer Center. The ideal candidate will have a strong background in project management, excellent communication skills, and the ability to provide essential support throughout the entire event lifecycle.

Responsibilities:

Event Coordination
-Create and manage event support materials including signage, swag, event execution toolkit, event collateral, Canva, shared mailboxes and other collaborative tools.
-Maintain tracking documents for vendor management, procurement, events, leadership
-Develop and write various supporting event deliverables including, but not limited to, websites, social media content, invitations, event programs and direct outreach.
-Coordinate event setup, registration, and on-site execution, ensuring a seamless and positive experience for participants attending a variety of events including donor recognition events and facility tours.
-Build sustainable relationships with event volunteers and third-party fundraisers
Provide excellent customer service to attendees, sponsors, and participants throughout the event lifecycle.
-Work with the team to monitor, and adhere to event budgets and provide post event budget reconciliation.
-Monitor event budget spending and conduct post-event evaluations to gather feedback and analyze the success of each event.
-Ensure that all prospect information is accurately uploaded into the prospect tracking system

Program Management Support
-Assist in the development and implementation of stewardship strategies to foster donor engagement and retention.
-Provide administrative support for stewardship initiatives, including scheduling meetings, maintaining calendars, and managing databases.
-Conduct research on current and prospective donors to support stewardship efforts and identify opportunities for cultivation. Assist with leadership briefings and guest bios.
-Support the creation of donor communications and stewardship materials such as annual reports, impact reports, and donor/faculty profiles.
-Audit program funds annually to facilitate donor reporting and transparency.
-Support school of medicine scholarship administration and fulfillment.
-Participate in training and professional development opportunities to enhance stewardship skills and knowledge of fundraising and event management best practices.

Minimum Qualifications:
-Bachelor’s degree (or equivalent experience equating to a Bachelor’s Degree) with a minimum of 1-3 years of equivalent/relevant work experience in event planning or project management
-Experience solving problems, prioritizing tasks, and responding to questions while also functioning as a team player in a fast paced environment with tight deadlines
-Proficient in Microsoft Office and Google Suites as well as demonstrated ability to create and manage projects utilizing tracking systems
-Welcoming, professional, polished demeanor and the ability to relate to people at all business and social levels
-Ability and willingness to work occasional evenings, weekends and early mornings at events
-Ability to plan and execute travel to and from events and event vendors
-Excellent organizational skills and the ability to manage multiple tasks seamlessly
-Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU

Preferred Qualifications:
-Experience working in event planning in a university, healthcare, or nonprofit setting
-Experience in donor relations or stewardship
