VEI is a large and dynamic practice of ophthalmologists and optometrists in the Richmond, VA area.We are searching for a Optical Operations Manager to join our busy practice. Job purpose The Optical Operations Manager shall manage the ongoing, day-to-day activities of departmental employees and programs. The Operations Manager is responsible for the associate, business, and public relations, professional and operational functions at the sites. Responsible and accountable for all operational issues, shall be readily accessible to departmental staff, and shall participate in departmental medium and long-range planning. The Operations Manager shall demonstrate leadership and a commitment to quality management including customer satisfaction and performance improvement. Adhere to and support all departmental policies, procedures and initiatives. Duties and responsibilities FINANCIAL MANAGEMENT Maintains a favorable profit and loss position for all optical sites Evaluates purchase/expense data and reports Participates in the preparation of annual operating budgets Assist in preparation of capital budget requests when necessary Monitors wage and salary expenditures Ensures that financial reports are accurate and complete OPTICAL RETAIL MANAGEMENT Ensures the highest standards of service excellence are in place Maintains/modifies departmental policies and procedures as required Ensures compliance with federal and state regulations, laws and accreditation standards Ensures that all required documentation and records are in place and available Works through others to optimize the use of computers, instruments and technology Ensures effective education, training and staff development programs; trains and serves as a coach/mentor to staff Maintains adequate staffing to support service delivery requirements, manages productivity to maximize departmental efficiency Ensures safe and accurate cash handling procedures are adhered to at all sites Ensures departmental payroll is processed and submitted in timely manner Manages the Optical Benefit program Ensures good purchasing and inventory control practices are in place and adhered to Works through others to develop plans designed to improve functioning (access, layout, work processes) HUMAN RESOURCES Ensures ongoing communication with and support/recognition of associates (including retention functions) Coordinates interviews as required Coordinates employee recruitment/replacement process Ensures that associate performance evaluations are delivered in a fair and timely manner Initiates / performs disciplinary action as required Prepares work schedules as required to meet business/coverage needs PUBLIC RELATIONS Surveys patient satisfaction; develops action plan to improve Monitors and communicates hours of operation Effectively handles patient complaints/concerns
