Position Overview: We are seeking a diligent and detail-oriented Bookkeeper to join our team. The ideal candidate will be responsible for managing accounts payable, payroll processing and reporting, and assisting with administrative tasks. Personnel are mostly union field positions conducting work in the mid-Atlantic district.
Key Responsibilities:
An individual must be able to successfully perform the essential functions of this position with or without reasonable accommodations.
· Maintain records of current employees to include address changes and changes to deductions.
· Update record of new employees to include setting up in Foundation software, verifying union withholding, and updating union withholding spreadsheets.
· Sync hours for field employees, manual entry of shop hours and additional payroll items, verify hours against field tickets.
· Work with finance to ensure weekly payroll is processed on time.
· Prepare and submit monthly utilization reports and Owner Controlled Insurance Programs (OCIP) reporting.
· Track and prepare weekly certified payroll reports.
· Process and code accounts payable invoices, reconcile vendor statements, prepare tax exempt forms.
· Match A/P invoices upon receipt via mail, email, or employee submittal.
· Ensure job-related expenses are tied to the correct job number or GL#.
· Correct and/or revise invoices as needed and route for approval.
· Record day-to-day transactions accurately and efficiently using Foundation software.
· Organize, code, and reconcile credit card receipts to statement.
· Process weekly payment of invoices via check (mail), enter weekly EFTs, and ACH payments
· Prepare weekly/monthly union remittance reports.
· Maintain employee records.
· Assist with other administrative tasks and projects as needed.
Qualifications:
· Proven experience (5 years) in bookkeeping or accounting roles.
· Solid understanding of basic bookkeeping and accounts payable principles. Experience working in a fast-paced environment.
· Proficient in MS Word and MS Excel. Strong data entry skills along with a knack for numbers.
· High degree of accuracy and strong attention to detail in data entry and record-keeping
· Excellent organizational and time-management skills, with the ability to prioritize tasks effectively and meet deadlines.
· Ability to take responsibility for and track payroll reporting requirements.
· Excellent verbal and written communication skills, with the ability to communicate with vendors and customers effectively.
· Ability to collaborate effectively with team members and other departments.
· Ability to work independently and as part of a team.
· Familiarity with legal and regulatory requirements for record-keeping.
