We focus on families, small business owners and individuals with complicated fiscal dynamics. We are a growing wealth management firm which has an open position - Front Desk / Office Manager.

Position Overview

As the Front Desk / Office Manager you will work closely with the primary owner and the Wealth Management Team. You will greet clients, answer phones, schedule clients, and prepare various client documents.

You must possess excellent communication, detail oriented, and organizational skills. You will be required to maintain a high level of confidentiality and discretion, along with strong professionalism as you will be processing confidential documents.

Responsibilities

  • Open and close primary office 7 : 50am & 5 : 00pm.
  • Professionally field incoming phone calls and greet / welcome the firm’s clients into the office.
  • Support primary owner of company in various tasks.
  • Provide daily administrative support to the advisory teams, which includes :
  • Appointment scheduling : includes preparing in-office technology and / or ordering catered lunch for meetings.
  • Confirm upcoming client meetings.
  • Prepare documents for account applications, account transfers, beneficiary updates, etc.
  • Process incoming client contributions on a variety of custodial platforms & provide follow up with respective advisory teams on check deposits.
  • Assist with quarterly report generation & client mailings.
  • Build relationships with clients & team, provide value in cultivating client relationships.
  • Coordinate and plan client events.
  • Monthly mailings, (Fly of the Month, Newsletter)
  • Coordinate office vendor services, including technology, cleaning & shredding services.
  • Maintain office technology & hardware, electronic files, client relation management (CRM) system, and reporting software.
  • General office functions (e.g. sorting mail, filing and maintaining office supplies).
  • Ensure front office space including small galley kitchen is kept clean for clients.

Qualifications

  • Excellent written & verbal communication skills; interacting with highly sophisticated clientele
  • Excellent client service skills, professional demeanor & appearance.
  • Experience with MS Word, Excel, Outlook, PowerPoint & other internet applications.
  • Ability to prioritize and multitask in a fast-paced environment.
  • Technology savvy, independent problem solver.
  • Punctual & dependable
