The job of a Pupil Accounting Clerk/Health Aide was established for the purpose/s of collecting, documenting and providing accurate student record information; providing general clerical support, resolving attendance related issues and conveying attendance related information to appropriate parties as they pertain to child accounting reporting. In addition, the Pupil Accounting Clerk/Health Aide will provide medical/physical assistance to students whose medical needs/disabilities necessitate special medical assistance/understanding/coaching.

POSITION BEGINS: AUGUST 6, 2024Probationary Pay Rate$17.76/hr. for 1st 45 Worked Days then increases to $18.31/hr.
QualificationsHigh School diploma or its equivalent. One (1) year clerical experience required. General knowledge of office procedures and equipment. Competency in PowerSchool or equivalent database preferred. If not previously provided, PowerSchool training will be provided. Must have basic skills assessment, pertinent to position qualifications, at 70% on file in the Human Resources Department. If testing is not on file, selected candidates will be contacted for testing.
Basic Responsibilities
  • Administer daily medications and various medical treatments, including but not limited to, nebulizer treatments, inhalers and injections, insulin via syringe, pen or pump, calculating insulin to carbohydrate ratios, and providing basic first aid to all school children in the building under the direction of the School Nurse for the purpose of meeting the medical needs of students.
  • Assist in the distribution of medical supplies and materials for the purpose of providing item availability.
  • Attend professional meetings (e.g. software user group meetings, etc.) for the purpose of remaining knowledgeable with current regulations and practices.
  • Compile and maintain student records and health documentation (e.g. birth certificates, residency, transfers, immunizations, SRS, medication, illness, medical needs, etc.) for the purpose of meeting state, federal and/or district requirements and providing necessary notification to District staff.
  • Demonstrate knowledge of infection control policies and procedures for the purpose of maintaining a safe and clean environment for students and staff.
  • Ensure that health services are provided in accordance with State and Federal regulations and organizational policy for the purpose of maintaining district, state, and federal compliance.
  • Forward information obtained from parent/guardian regarding changes and updates related to health/medical needs for the purpose of continual evaluation of student needs.
  • Input information on a daily basis to the student attendance system for the purpose of accurate tracking and documentation of student attendance information.
  • Input student immunization records into the County Health Department computer system and communicate immunization related issues with parents, community, and District staff for the purpose of collecting, tracking, and documenting student immunization information.
  • Maintain documents, files and records (e.g. daily attendance and child accounting, etc.) for the purpose of providing up-to-date reference and audit trail for compliance.
  • Perform record keeping (confidential and non-confidential) and general and program specific clerical functions for the purpose of supporting assigned administrator, support staff and/or site with necessary materials.
  • Prepare and process written materials and reports (e.g. count day report, accident reports, monthly immunization report, letters, memos, etc.) for the purpose of documenting activities, providing written reference, complying with county, District, state, and federal requirements and/or conveying information.
  • Provide one-to-one physical assistance to students with medical needs/disabilities that require special assistance (e.g. monitoring blood sugar levels, care of tracheal tubes, colostomy bags, catherization, etc.) for the purpose of meeting health and medical needs of assigned students.
  • Complete the registration process for students and compile all necessary information required by district, county and state for the purpose of determining student eligibility for enrollment and special needs.
  • Respond to inquiries/situations (e.g. staff, other educational institutions, public, parents, students, etc.) for the purpose of providing information and/or referral to the appropriate personnel for resolution.
  • Maintain regular personal attendance and punctuality for the purpose of ensuring efficient delivery of services to the District.
  • Occasionally assist other personnel for the purpose of supporting them in the completion of their work activities.
