Washington Water Trust is Hiring an Operations and Administrative Associate Near Seattle, WA

Washington Water Trust (WWT) is a 501(c)(3) nonprofit leader in river and stream flow protection. WWT seeks a team-oriented, motivated, and resilient Operations and Administrative Associate (OAA). Our Finance and Administration (FA) team is responsible for providing a strong support system for the organization and mission. The OAA is a key member of the FA Team, performing a variety of duties that support the smooth operation of the WWT offices and organization under the direction of the Administrative and Finance Director (AFD). This role is for an experienced and versatile generalist who can diligently complete a wide variety of tasks, solve problems, and successfully juggle competing priorities. This FA Team position may grow into an Administrative Manager position with additional finance responsibilities, depending on interest and specialization.

The position is a regular (between 24-40 hours a week) part-time, non-exempt hourly position located in Seattle, Washington and supervised by the Administrative and Finance Director.

Duties and Responsibilities

The OAA is responsible for maintaining the day-to-day administrative operations of WWT’s two regional offices located in Seattle and Ellensburg:

Oversight and management of information technology (20%)

· Serve as primary Staff contact for basic IT questions including use of software platforms; contact for external IT Contractor

· Manage audio/visual conferencing assets, options, and training

· Manage use of assets/devices/software and assignments

Office operations and Administrative Support (70%)

· Manage Non-Project based vendor relations

· Manage/Pay monthly recurring office services

· Manage office assets: Purchase, assemble, and discard property as needed; maintain records

· Coordinate with building management

· Maintain and organize office common areas

· Serve as primary point of contact for staff related to use of office space, storage, equipment, and building assets/restrictions

· Respond to operational and emergent needs of staff

· Assist in supporting a healthy organizational culture based on WWT core values and community agreements; foster staff comradery

· Other duties as assigned by the AFD

Finance (5%)

· Provide support to AFD as needed

· Help manage the administrative budget

· Serve as back up for AFD during absence

AFD Reports & Meetings (5%)

· Meet weekly with AFD to review tasks, billing, emergent issues and workplan for the week

Key Skills and Attributes:

· Associate or bachelor’s degree or equivalent experience is required

· Minimum of 1 year administrative and office support experience

· Proficiency in full Microsoft Office suite with capacity to self-train to increase IT expertise

· Experience with or ability to become proficient in project management software

· Excellent organizational skills and attention to detail

· Manage, prioritize and efficiently complete multiple responsibilities

· Proactive, dependable, approachable and accountable

· Handle confidential information with care and discretion

· Self-directed; able to work independently

· Collaborative team player

· Demonstrated problem solver

· Knowledge of equity and social justice

· Ability to discern and apply WWT policies, community agreements, and core values as they arise from day to day

· Familiarity or experience with non-profit administrative duties a plus for this position

· Passionate about the work of WWT a plus for this position

· Financial literacy and competency a plus for this position

Working Conditions

Employees may be asked to work occasional non-standard hours. Staff must be willing and able to travel throughout Washington. Some travel to the Ellensburg office and other areas of Washington state may be required. The Seattle office is dog friendly. Staff are encouraged to use paid time off to maintain a healthy work-life balance.

This job requires frequent use of computers. Under our hybrid work policy, WWT offices are open to those who have been fully vaccinated, and staff may also operate from a home office. There will be in-person weekly office days required for team coordination. For remote work, employees must maintain a workspace with an internet connection where they can reliably perform work during scheduled work hours.

We are a completely COVID-19 vaccinated staff team and require proof of vaccination for any new hire, to protect the health of our WWT Team, our families and communities.

Benefits & Compensation

· Regular, part time (between 24 and 30 hours/week initially) non-exempt position.

· Regular part time employees receive a pro-rated benefits package including: paid health, vision, and dental insurance; 12 paid holidays; 3 weeks paid vacation (4 weeks after two years employment), paid sick leave, WA Paid Family Medical Leave, and a contribution to 403(b) retirement program of up to 4% of annualized salary.

· This position will be based out of the Seattle office. We follow a hybrid work from home policy with flexibility for some remote workdays. This position can expect to be in the office 2-3 days/week.
