Job Overview:

We are looking for an Office Manager to join our team. The ideal candidate will have outstanding organizational and communication skills, preferably with experience in the construction field. Proficiency in Microsoft Office applications and a commitment to providing exceptional customer service are essential for this role.

Administrative Duties

  • Office Management: Oversee day-to-day office operations, including managing supplies, equipment, and general office upkeep.
  • Staff Coordination: Coordinate with shop floor staff, providing support and ensuring communication between office and production areas.
  • Record Keeping: Maintain accurate records of projects, inventory, invoices, and other relevant documents.
  • Scheduling: Manage calendars for projects, meetings, and employee shifts.
  • Customer Service: Handle client inquiries, provide updates on project statuses, and ensure customer satisfaction.

Financial Management

  • Budgeting: Assist in preparing and managing budgets, tracking expenses, and ensuring cost-effective operations.
  • Invoicing: Prepare and send invoices to clients, follow up on payments, and maintain accurate financial records.
  • Payroll: Oversee payroll processing, ensuring employees are paid accurately and on time.

Project Coordination

  • Project Tracking: Monitor the progress of fabrication projects, ensuring deadlines are met and quality standards are maintained.
  • Order Processing: Manage orders for materials and supplies, coordinating with suppliers and ensuring timely delivery to the shop.
  • Documentation: Prepare and maintain project documentation, including blueprints, specifications, and work orders.

Communication

  • Internal Communication: Facilitate effective communication between office staff, shop floor employees, and management.
  • Client Communication: Serve as a point of contact for clients, providing updates and addressing any issues that arise.

Technology and Systems

  • Software Management: Utilize office management software, project management tools, and accounting systems to streamline operations.
  • Data Entry: Ensure accurate data entry and maintenance of digital records.

Human Resources

  • Recruitment: Assist in recruiting and onboarding new employees, ensuring they are properly trained and integrated into the team.
  • Employee Relations: Address employee concerns, mediate conflicts, and promote a positive work environment.
  • Compliance: Ensure compliance with health and safety regulations, company policies, and industry standards.
