Water Mission is Hiring an Executive Assistant Near Charleston, SC

What is the opportunity?
The Executive Administrative Assistant to the Executive Vice President (EVP) of Partnerships and Communications (P&C) division plays a vital role in ensuring a superior level of organization, efficiency, and strategic support directly to the EVP. This position involves not only handling administrative tasks but also acting as a strategic partner to the EVP, enabling more effective leadership and decision-making. The P&C division is responsible for the organization's revenue generation, partner and volunteer engagement, and the administrative and support functions for these activities. The EVP sits on the organization's Senior Leadership team, and this position requires regular communication with other executives and their executive assistants. The role requires superior communication, project management, and exceptional judgment and foresight. By effectively and efficiently managing the EVP's priorities and time, this role is critical in supporting the EVP in developing partnerships and serving as a key decision-maker in leading the division. This full-time role reports directly to the EVP and is based at Water Mission’s headquarters in North Charleston, SC.
A successful Executive Assistant will:
  • Maintain a strong Christian witness and model servant leadership to colleagues, partners, the communities we serve, and the public.
  • Engage and participate in prayer before and after team meetings.
  • Lead and participate in biblically based staff devotions.
  • Maintain high-level knowledge of Water Mission’s organizational objectives, programmatic strategies, projects, and activities. Stay informed of local, regional, national, and global news and issues to support the organization effectively.
Strategic Support
  • Provide strategic support to the EVP, including managing the daily calendar, fielding scheduling requests, coordinating meetings, and providing necessary advance information.
  • Prepare meeting agendas and facilitate the gathering of information to ensure productive and informative meetings. Accurately record and distribute meeting notes and handle follow-ups on action steps as needed.
  • Strategically manage the EVP’s inbox, prioritizing and delegating emails as necessary to ensure timely responses and effective communication.
  • Draft strong presentations, appropriate and accurate talking points, and other communication materials for the EVP.
  • Look for new and strategic ways to ensure collaboration and communication throughout the division.
  • Ensure efficient meeting management by organizing effective meeting structures, setting clear agendas, and tracking follow-up items to ensure thorough follow-through.
  • Maintain confidentiality of sensitive information and exercise discretion in handling confidential matters.
  • Provide professional and quality communication with current and potential ministry partners, Water Mission board and committee members, guests, and volunteers, including email correspondence, letters, and packaging and shipping materials.
  • Proactively identify and address issues that could impact the EVP's ability to meet goals and deadlines, ensuring all relevant information is communicated clearly and promptly.
Project Management and Administrative Support
  • Provide administrative support to the EVP, including making travel arrangements, expense reporting, timesheets, processing invoices, and organizing and filing electronic documents.
  • Provide project management for special projects, utilizing Smartsheet to effectively manage tasks and timelines.
  • Project manage tracking P&C employees’ annual goals development, mid-year, and annual reviews. Facilitate record-keeping coordination between P&C Managers and Human Resources.
  • Ensure any accreditations for the organization or the EVP are updated yearly. Coordinate the gathering of requirements throughout the year and proper documentation for submission.
  • Assist with planning special events for prospects and ministry partners; responsibilities may include arranging venues, producing event timelines, managing event budgets, and assisting with other event needs (set-up, implementation, and tear-down).
  • Support one of the Board of Directors' Committees in meeting and presentation preparation, reporting, minute-taking, and communication.
  • Document and maintain information related to all communications in a timely manner using Blackbaud’s Raiser’s Edge (RE) software.
What is Required?
  • Personal and growing relationship with Jesus Christ.
  • Alignment with Water Mission’s Statement of Faith and Core Values of Love, Excellence, and Integrity.
  • Alignment with the principles of servant leadership as embraced by Water Mission.
  • Bachelor’s Degree preferred.
  • 5 years' experience in administrative support or donor relations preferred.
  • Comprehensive computer skills, including proficiency in Microsoft Office software: Word, Excel, and PowerPoint.
  • Keen attention to detail and organizational skills required.
  • Keyboarding/typing proficiency required.
  • Excellent written and verbal communication skills, including the ability to clearly articulate ideas and provide constructive feedback.
  • Proficiency in managing Raiser’s Edge or other CRM/database preferred.
  • Ability to thrive in a highly fluid environment and respond to multiple changing requests.
  • Ability to host all guests and high-level corporate personnel with hospitality and grace.
  • Legal authorization to work in the United States without sponsorship.
  • Flexibility to work periodic nights and weekends as required for ministry operations.
  • Home internet bandwidth strong enough to support video conferencing and other job-related responsibilities.
  • Commitment to the values and mission of the organization and ending the global water crisis.
  • Domestic and international travel may be expected up to 10%.
  • Skilled in or willing to develop proficiency in AI to enhance productivity and innovation.
  • Ability to self-prioritize tasks, communicate effectively, and ask critical questions to support strategic decision-making.
  • Proficiency in drafting strong presentations and accurate talking points.
  • Ability to seek out and implement strategic methods for improving collaboration and communication across the division.
