Role Description

As an Administrative Assistant at Watkins-Conti Products, Inc., you will provide essential support to ensure the smooth operation of our office and administrative functions. The Administrative Assistant collaborates with the Director of Operations to ensure the effective and efficient management and support of the company. 

Responsibilities

  • Office Management: Maintain office supplies, equipment, and facilities to ensure a well-functioning work environment.
  • Calendar Management: Coordinate and manage appointments, meetings, and travel arrangements for executives and team members.
  • Correspondence: Draft, edit, and distribute emails, letters, memos, and other documents as needed. Coordinate with outside services and vendors as needed.
  • Document Management: Organize and maintain physical and electronic files, ensuring easy retrieval and confidentiality of sensitive information.
  • Communication: Serve as a primary point of contact for internal and external inquiries, providing timely and professional responses.
  • Meeting Support: Assist with the preparation of meeting agendas, materials, and presentations, as well as taking minutes and following up on action items when needed.
  • Event Coordination: Support the planning and execution of company events, conferences, and other activities.
  • Administrative Support: Provide general administrative assistance to various departments, including photocopying, scanning, printing, sorting mail, and filing. Performs other administrative duties as assigned.
  • Special Projects: Assist with special projects and initiatives as assigned by management, demonstrating flexibility and willingness to take on new tasks.
  • Inventory: Assist in the management of inventory including receiving, organizing, and updating electronic inventory records.
  • Other: Perform other duties as assigned and required to maintain operations.

Qualifications

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Experience in an administrative support role, preferably in the medical device or healthcare industry.
  • Proficiency in Microsoft Applications (Word, Excel, PowerPoint, Outlook, Teams, SharePoint) and Calendly.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Strong attention to detail and accuracy in data entry and document management.
  • Excellent communication and interpersonal skills, with a professional and courteous demeanor.
  • Strong ability for managing highly confidential and sensitive information with utmost discretion and confidentiality. Ability to communicate sensitive information with professionalism.
  • Proactive problem-solving skills and ability to work both independently and collaboratively in a team environment.
  • Willingness to adapt to changing priorities and take on new responsibilities as needed.
  • Strengths in reliability, consistency, and being a self-starter.
  • Experience with quality management systems a plus.
