Perform the day-to-day functions of opening all preventative maintenance work orders as well as schedule orders with customers.

Responsibilities include dispatching personnel to the customer’s job site, communicating with clients, and providing guidance to the field service techs.

Duties and responsibilities

• Process all open preventative maintenance work orders and arrange the flow of work between technicians and customers
• Arrange schedules according to projects and regulate the flow of tasks between customers and technicians
• Review technician’s time entries and truck mileage daily for accuracy
• Process, schedule, and manage all quotes and purchase orders
• Assist with answering calls by providing clear and concise information
• Review the tech scheduler board, establish priorities, and work order specifications.
• Assist branch and service manager with daily operations per business needs
• Must be available for after hour calls and take appropriate action accordingly
• Must be willing to travel and stay overnight
• Perform other duties as assigned

Qualifications

• 5 years previous experience in a service department environment
• Provide excellent customer service
• Mechanical background or preferred knowledge

Knowledge, Skills, and Abilities

• Bilingual preferred (English / Spanish) but not required
• Must accurately follow written and verbal instructions
• Experience using Microsoft Office programs (Excel, Outlook, Word)
• Must have good organization skills
• Must be dependent, motivated, and work independently
• Must have the ability to multi-task
• Must be able to respond to / diffuse highly stressful / emotional situations with customers
• Must be available for scheduling adjustments due to workload
• Must maintain good client and employee relationships
