Position Description

General Summary

Assist customers determining their supply needs, source and arrange the delivery of such supplies to the customer. Up-sell addition products and supplies. Support external sales made by Outside Sales representatives. Procure specialty materials pertaining to assigned WBC groups. Structural, Civil & Infrastructure, Safety, Gas Products, Metals, Pipe, etc. Review and monitor materials that are currently stocked in the PCS warehouse and maintain the inventory levels for such items. Review new stock items and make recommendations to Group Manager. Prepare purchase orders by verifying specifications and pricing. Obtain purchased items by forwarding orders to suppliers, monitoring, and expediting orders. Verify that all orders arrive complete, research shortages, discrepancies, and any damages. With the assistance of the Group Manager develop and maintain strong profitable relationships with suppliers. Communicate and negotiate effectively with these and new suppliers to ensure that we are getting the highest quality materials for the lowest possible cost thus increasing our sales profitability. Monitor any supplier/distributor contractual obligations for continued performance and evaluate any need for changes.


Essential Duties and Responsibilities

  • Determine customers’ needs and recommend appropriate products and solutions
  • Follow a product/supply checklist for each customer’s job and up-sell additional products and supplies
  • Answer telephones and enter sales orders
  • Interact with walk-in customers, enter orders and ensure they leave satisfied
  • Support Outside Sales with customer orders, quotes, take offs, etc.
  • Track customer orders to ensure customers are aware of material deliveries and backorders
  • Track Outside customer specific needs; invoicing requirements, payment types, etc.
  • Accept payment and apply it to the appropriate customer account
  • Coordinate customer pick-ups with the warehouse
  • Follow up on deliveries to ensure materials arrived on time with all items accounted for
  • Review vender invoices for material orders placed outside of PCS, Bill as necessary and address with purchases with the Group Manager
  • Address and resolve service concerns, should they arise
  • Purchase the highest quality materials at the lowest possible price and in correct amounts Prepare purchase orders, solicit bid proposals and review requisitions for goods
  • Research and evaluate suppliers based on price, quality, selection, service, support, availability, reliability, production and distribution capabilities, and the supplier's reputation and history
  • Coordinate the ordering, drop-off and pick-up of cylinders and gas products required at WBC
  • Coordinate the ordering of all metal / pipe welding supply needs for WBC
  • Analyze price proposals, financial reports, and other data and information to determine reasonable prices
  • Negotiate, or renegotiate with suppliers, vendors, and other representatives
  • Monitor shipments to ensure that goods come in on time, and in the event of problems trace shipments and follow up on undelivered goods
  • Confer with staff, users, and vendors to discuss defective or unacceptable goods or services and determine corrective action
  • Evaluate and monitor contract performance to ensure compliance with contractual obligations and to determine need for changes
  • Maintain and review computerized or manual records of items purchased, costs, delivery, product performance, and inventories
  • Study sales records and inventory levels of current stock to develop strategic purchasing programs that facilitate employee access to supplies
  • Review product specifications, maintaining a working technical knowledge of the goods or services to be purchased
  • Monitor changes affecting supply and demand, tracking market conditions, price trends, or futures markets
  • Maintain timely and effective paper flow within department and other departments
  • Perform other duties and responsibilities as assigned

Marginal Duties and Responsibilities

  • Make recommendations to Sales Manager for new product lines and pricing to remain competitive in the market.
  • Ability to calculate figures and amounts, such as: discounts, proportions, percentages, area, circumference and volume.
  • Attend relevant product training to increase knowledge as required.
  • Attend and participate in relevant trade shows as required. Review catalogs, industry periodicals, directories, trade journals, and Internet sites, and consult with other department personnel to locate necessary goods and services.
  • Interview vendors and visit suppliers' plants and distribution centers to examine and learn about products, services and prices.
  • Formulate policies and procedures for bid proposals and procurement of goods and services.
  • Attend meetings, trade shows, conferences, conventions and seminars to network with people in other purchasing departments.

Education and/or Experience

  • High school diploma / GED
  • 2 years of relevant inside sales experience
  • Procurement - Associates Degree or 3-5 years related experience - Desired

  • Industry relevant product knowledge - Required
  • Computer skills (typing, email, internet, Office / Excel) – Required
  • Valid driver’s license
