Webster Properties, LLC is Hiring an Administrative Assistant/Leasing Coordinator Near Rochester, NY

We are a Property Management Company in Rochester NY looking for a knowledgeable and motivated Administrative Assistant / Leasing Coordinator with a background in property management or real estate. The Administrative Assistant / Leasing Coordinator will have the opportunity to use their skills in sales, marketing and customer service to effectively communicate all of our unique property features to prospective renters. Maintain compliance with laws as defined by each governing program related to the site. **This position can be either part time or full time**

Prospect & Pre-Application Screening:

  • Receiving and returning calls, emails, and website leads on advertised apartments. Provide unit, building and neighborhood details to prospects as requested.
  • Manage leads and pre-qualify prospects with pre-screening question template used to gather required prospect information prior to showing.
  • Manage showings day/time with prospects and delegate appointments to RES/COM showing agents.
  • Process applications received via company CRM and process, complete credit, background and other verification screening.
  • Communicate with prospects of approval, gather further documentation, using procedure and best practices to accept quality tenants and notify un-qualified prospects, sending credit letters, documenting the process in our CRM for our records

Customer Service/Reception Duties:

  • Be the first point of contact for customers, tenants, and vendors entering the office reception area
  • Preparing meeting areas and training rooms as needed
  • Monitor the main phone line and answer calls, return voicemails, take messages, forward calls to the correct extension as needed
  • Provide callers with information such as company address, directions to company, fax numbers, company website, account balance and other related information
  • Accept all package deliveries and distribute to other office and apartment tenants as needed
  • Handle all virtual mail forwards and pickups for the building
  • Coordinate the day-to-day operations of the building, including tenant relations, vendor relations and general project management
  • Manage conference room reservations and organize all aspects for meetings
  • Maintain the physical appearance and infrastructure of the building’s common areas

General Office Administrative Support:

  • Assist all departments with data entry, customer service, sorting, filing, scanning, and other administrative duties.
  • Head any major filing, organizing, or scanning projects for the company.
  • Assisting colleagues with administrative tasks. Type correspondence and reports; edit and update various spreadsheets
  • Perform other related duties as required

Marketing:

  • Compile photographs of all units, categorize, and keep the CRM system updated. Schedule work order when additional photos are needed.
  • Manage new ads, graphics, marketing materials as needed.
  • Utilize Craigslist, Zillow, Trulia, HotPads, RentRochester for online advertising as needed.
  • Maintain awareness of market/industry conditions and trends via apartment rental publications, professional organizations, etc.
  • All aspects of advertising, writing, direct contact and follow-up, networking, referral building (past/current tenants, employees & vendors) and determining when to apply rent promotions and specials.
  • Update and make sure all properties and listings on website are up to date

Requirements:

- Prior experience as an administrative assistant or leasing coordinator or in a similar role.

- Marketing experience is a plus, but not required**
- Strong organizational and time management skills.
- Proficiency in Microsoft 365.
- Excellent phone etiquette and communication skills.
- Ability to work in a fast-paced environment
- High school diploma or equivalent required; degree in a related field preferred.
- Experience in the property management / leasing industry is a plus.
- Familiarity with receptionist duties is beneficial.
