Job Summary: The Operations Coordinator works under the direction of the Director of Education Operations within the Office of Academic Affairs in day to day operations of the division. Core Responsibilities and Essential Functions: Coordinate functions of the division using effective project management. - Assist manager/executive director with system wide duties. Assist with coordinating meetings, minutes and other communications to team. - Assist with developing graphics and presentations for system/facility committees and division projects - Assist with weekly/monthly learning events including development of slides and reports. - Assist with integration of new projects/initiative into education plans including developing training and data collection tools for resource utilization. - Assist with new pilot projects for Learning Resources, Learning and Development, and Leadership initiatives. Will report results to senior leadership and physicians. - Provide backup support for scheduling and payroll for division. - Train new employees for a minimum of 16 hours on computer software and appropriate documentation. - Efficiently multi-task numerous projects simultaneously. See above - Format various Microsoft Office documents - Provide administrative support to OL leaders and all areas of department - Collect requested information as directed Provide timely and accurate administrative support services - Schedule meetings, meeting preparation (send out reminders, packets, set-up equipment, minutes) - Coordinate operational components of educational offerings - Provide CME/educational event support and follow up (on-site support, record learning, process transcripts) - Assist with developing presentations and meeting materials Ensure quality customer service with an understanding and awareness for specific needs, chain of command and interpersonal relationships - Display professional and courteous behavior in support of achieving organizational and division goals - Greet visitors and direct them to appropriate party - Screen telephone calls and direct caller to appropriate party - Assist with orientation of new staff as needed Maintain division budget input and monthly review as required - Purchase items - Pay invoices - Process monthly detail trial balances - Adhere to budgetary constraints - Assist leadership team with monthly and daily schedule Required Minimum Education:Full Time
