Job Summary: The System Safety and Quality Operations Coordinator is a critical member of the Safety and Quality Services team, essential to the successful strategy and daily operations. This individual serves as a subject matter expert and provides oversight and administrative coordination of departmental activities. This team member manages the system quality and safety department projects, including management of timelines and action items throughout the course of a project. He/she is also expected to provide proactive support including, planning for monthly, quarterly and annual deadlines and setting reminders to leaders and team members. The individual brings a strong attention to detail, excellent organizational skills to manage and respond to multiple data sets, critical thinking and problem-solving skills. Key activities include coordination, preparing reports, presentations, and support of complex, system level meetings and regulatory events (i.e., The Joint Commission, CMS, DOH, etc.); communicating with key stakeholders, including physicians and leadership regarding Safety and Quality Services activities; troubleshooting issues; responding to team member/physician questions. This role is routinely exposed to confidential discussions and data regarding safety event management, quality performance, regulatory and accreditation activities; OSHA compliance; Infection Prevention activities; and safety/quality priority focus and improvement efforts. In this role, the individual will maintain an awareness of system process and procedure changes and advise leaders when communication or data collection may be needed. In addition, this role will be responsible for training and onboarding of other System Quality and Safety resources including both administrative and departmental processes. Core Responsibilities and Essential Functions: Safety Quality Department Operations - Serves as subject matter expert and provides administrative oversight and operational support of Safety and Quality Services Department processes and activities. Serves as primary contact to coordinate Safety and Quality Departmental activities. - Tracks, assists with planning, reconciliation and monitoring of Safety and Quality Services budget to include, but not limited to: processing invoices, oversight of ordering of supplies, quality and safety team conference coordination, management of current contracts and renewals, and monitoring and monthly reconciliation to ensure team remains within budget with prompt notification to leadership for outliers. - Manages internal projects from project kick off through implementation. Ensuring major milestones are met and the project stays on track. - Manages onboarding of both system and business unit Safety and Quality team members. - Assists with orientation and annual competency assessments of System and Business Unit Quality and Safety leaders and team members, as appropriate. - Manages the eBTRW process for new contracts across the System Safety Quality Department. - Maintains awareness of system process and procedure changes; communicates to system and business unit stakeholders, as appropriate. - Coordinates departmental meetings. Assists team in management and tracking of departmental projects to ensure timely completion; includes monthly, quarterly and annual deadlines with reminders to appropriate team members. - Coordinates Quality Performance Excellence activities, including Lean Hoshin Deployment, Baldrige System activities, and Quality and Safety Awards across the system Administrative Coordination: - Provides oversight, coordination, and support of system activities, meetings, and regulatory activities - Coordinates, collects data, prepares presentations, reports, and completes meeting minutes/summaries as needed for system committees including but not limited to: Board Safety and Quality Committee, Quality Steering Committee, Quality/Safety Leader, Accreditation Committee. - Provides coordination and support of the Command Center during regulatory surveys, i.e., The Joint Commission, Department of Health, CMS, etc., as needed. - Coordinates activities for Medical Staff Retreat; collaborates with leaders, physicians, and team members to plan, prepare, and evaluate activities. - Attends management, project team, and customer meetings as requested. Other Duties: - Serves as primary manager of the Safety and Quality Services department Microsoft Teams Site, SharePoint and eSource pages. - Assists with technology updates and needs across the department. - Maintains par levels of department supplies. - Provides subject matter expertise for the Hospital Improvement Innovation Network and GHA, as needed. - Assists facility leaders with questions, troubleshooting issues and problem solving. - Collaborates with Data Enterprise Intelligence and coordinates data submission to the PSO. - Manages the Safety First and Patient Safety Organization (PSO) mailbox; responds to requests and troubleshoots issues, as needed. - Provides timely scheduled and ad-hoc reports. - Other duties as assigned Required Minimum Education: BS or BA Degree Required or equivalent work experience. Required Required Minimum License(s) and Certification(s): All certifications are required upon hire unless otherwise stated. Additional License(s) and Certification(s): Project management or lean certification Upon Hire Preferred Required Minimum Experience: Minimum 5 years experience in an administrative support role, Required Required Minimum Skills: Ability to use critical thinking skills to identify barriers and opportunities. Excellent organizational, project management, and verbal/written communication Must be comfortable interacting with and sharing data results with physicians and team members at all levels of the organization and speaking in front of small to medium sized groups. Ability to manage confidential information.
