REPORTS TO: Senior Manager- Multifamily Lending
Job Summary: This employee provides highly responsible administrative support for all areas within the Multifamily department. They are responsible for the timely response of assignments by the Division Manager and support staff to ensure accurate and efficient activity within the department, including processing and closing loans as needed. This position includes the performance of high-level clerical duties, including the use of real estate and legal terms and knowledge as well as ensuring that the proper format for all programs and documents are utilized and delivered to the proper end user or location. This position will provide technical assistance to clients and monitor the data loaded into the Pro-Link system. This employee will have access to sensitive and confidential data; therefore, confidentiality must be maintained at all times.Essential Functions:

• Processes program applications, reviewing applications and supporting documents for initial program compliance;
• Enters and records application data in computer systems, preparing files for further review;
• Follows up with applicants on required submissions, reviewing program checklists and other documentation to determine outstanding items;
• Monitors loans in process and submits closing documents to the Legal department for final approval;
• Receives visitors and phone calls, properly directing them to the appropriate person;
• Responds to inquiries from developers, contractors, public lenders or others regarding various West Virginia Housing Development Fund (the “Fund”) programs;
• Provides excellent customer service electronically, over the phone, and in-person;
• Types a variety of correspondence, memos and reports, ensuring the proper format for all documents are utilized and delivered to the appropriate end user or location;
• Maintains all department files and detailed records in the proper location;
• Schedules appointments and assists in the maintenance of departmental calendar;
• Responsible for opening, distributing and collecting all departmental mail; and
• Assists Multifamily staff with administrative duties as needed to ensure the efficient operation of the department.

Work Environment/Physical Demands: The employee in this position may be required to sit at a desk for long periods of time. Routinely uses standard office equipment such as computers, phones, etc.
Required Education/Experience: High School Diploma or GED equivalent with a minimum of three years’ clerical experience. Proficient knowledge of Microsoft Office products.
Preferred Education/Experience: Associates degree in Secretarial Science with experience in legal administrative duties.
