The Mary Babb Randolph Cancer Institute at West Virginia University is currently accepting applications for a Program Coordinator

About the Opportunity

This position provides support to WVU Cancer Institute faculty and staff. The primary purpose of this position is to serve as the point of contact for all hiring and credentialing questions. This position will report to the Manager of Accounting and Finance and will serve as part of the WVUCI unit for research administration.

What You'll Do

  • Manages the day-to-day operations related to hiring and credentialing new faculty.
  • Acts as a liaison between the hiring manager and faculty committee, state licensing boards, Medical Staff Affairs, etc.
  • Tracks state licenses, board certifications, and needed training/educational certifications- collaborating with the physician for all initial and renewal requirements to ensure compliance and maintains up to date records for each provider.
  • Ensures maintenance of CME records and updates of transcripts regularly
  • Assists hiring managers in the development of job descriptions that are aligned with business objectives and regulatory standards. Completes Qualtrics form to create hiring requisitions.
  • Provide oversight of the onboarding process. Collaborates with the hiring manager, Talent and Acquisition, etc to complete new employee onboarding tasks ensuring a positive and seamless experience.
  • Acts as the departmental timecard administrator; approves pending leave requests and confirms supervisors sign off on timecards by the deadline.
  • Oversees the Notice of Appointment process for all faculty and staff.
  • Serves as point of contact for the University’s bi-annual equipment inventory. Ensures that capital equipment is tagged with a University property tag and properly disposes of unwanted property.
  • Oversee the completion of the space audit report which determines the Finance and Administration rate for the entire university. Maintain detailed records of research space assignments

Pay Grade: 15

Qualifications

Qualifications:

  • Bachelor’s Degree in Business Administration, Human Resources, Accounting or related field; Or an equivalent combination of education and/or directly related experience.
  • A minimum of two (2) years of healthcare or administrative experience

Knowledge, Skills and Abilities

  • Knowledge of WVU policies and procedures pertaining to hiring and HR.
  • Knowledge of PC-based software and related applications, including Word, Excel, and Adobe Acrobat.
  • Ability to manage multiple tasks and projects, prioritize for effective outcomes.
  • Strong verbal and communication skills.
  • Must have a professional demeanor when dealing with demanding individuals.
  • Excellent organizational skills and be able to multi-task and prioritize all work needing accomplished.
  • Must possess the ability to work independently and use excellent judgment in decision-making.
