This position supports Nature Scape's branch office operations with timely and accurate business transactions, and adherence to established administrative processes. This position plays an integral role in creating and maintaining positive employee and client experiences.
Responsibilities
Create an amazing first impression of Nature Scape's with professional and friendly greeting to all clients, visitors and employees in-person, over the phone, and through email correspondence.
Answer main office phone, screen and distribute messages and inquiries to appropriate employees
Perform daily administrative tasks to ensure smooth office operations, to include monitoring and coordinating the on-going maintenance of all office equipment, phone system and other information technology systems.
Maintain positive working relationships with all internal and external partners on administrative needs and requests.
Manage customer and vendor contracts, requests and correspondence via phone, email, fax, etc.
Coordinate Certificate of Insurance (COI) requests and distribution.
Partner with Accounting & Finance to manage secure access to online portals for all vendor and customer accounts.
Plan, schedule, coordinate logistics of on-site special events, meetings, seminars, etc.
Complete necessary business-related research, as needed.
Ensure the utmost level of security and confidentiality of all business transactions, documents, records and proprietary knowledge.
Partner with company leaders to manage supply and distribution of company equipment.
Effectively manage ordering and distribution of office supplies for the branch; coordinate with managers to ensure all supplies are centrally tracked. Ensure office is stocked, clean and remains tidy at all times
Act as liaison between main office and field managers, as needed
Manage daily activities associated with mail and package preparation, delivery and pick up
Assist with uniform inventory, ordering and vendor relationship
Compose and edit correspondence to vendors and customers
Other administrative duties, as assigned

Must have knowledge of Microsoft Office, Outlook, PowerPoint, Excel, and other programs to create email and other forms of communication to support the office
