Position Summary

The Manager, Practice Assistant (PA) Services is responsible for the organization, standardization, innovation and advancement of the PA function in the Washington, DC office. The Manager, Practice Assistant Services is in charge of the overall supervision, workflow coordination, and service delivery for the Practice Assistant, Senior Team Leads and Practice Assistants in the DC office. The Manager will guide and develop the team, ensure work continuity, improve processes, share information, and problem solve on a regular basis with the aim of delivering exceptional service.
Working with all White & Case lawyers and Business Services professionals in the DC office, the Manager, Practice Assistant Services will develop a good understanding of the office culture and processes. The Manager will identify, analyze and address obstacles promptly and efficiently. The Manager will have a positive impact on the overall working environment of the office and foster a problem-solving mindset within the team, ensuring challenges are met with innovative and practical solutions.
While primary responsibilities are DC-focused, the Manager, Practice Assistant Services will also work closely with the Senior Manager, Practice Assistant Services in the New York office to implement Firm and regional initiatives pertaining to administrative support (e.g., PA teaming) throughout the Americas.
Duties and Accountabilities
  • Lead, mentor, and manage the Practice Assistant team to ensure high performance and excellent customer service.
  • Manage and develop Practice Assistant, Senior Team Leads to ensure they consistently meet or surpass role expectations.
  • Meet with lawyers to understand and resolve concerns regarding PA assignments and performance. Consult with People Advisory when necessary.
  • Conduct regular performance check-ins with PA team and write and deliver annual performance evaluations. Make compensation recommendations.
  • Foster a collaborative team culture, promoting open communication and teamwork.
  • Oversee daily Practice Assistant operations, ensuring work is completed efficiently and accurately.
  • Develop and implement standardized Practice Assistant procedures and best practices to drive innovation and engagement.
  • Address and resolve administrative and operational challenges promptly. Apprise the Manager, Office Operations and Senior Manager, Practice Assistant Services of issues and offer suggested solutions.
  • Monitor PA ratios and provide staffing guidance for hiring and reassignments.
  • Interview candidates and make hiring recommendations for regular and temporary roles. Build a workforce that is inclusive and diverse.
  • Oversee the time and attendance process, including the approval of overtime.
  • Hold regular meetings with Senior Team Leads to relay information/direction and discuss PA morale, feedback and concerns.
  • Serve as the primary point of contact between the Practice Assistant team and other departments in the Firm.
  • Collaborate with Office Operations colleagues in the Firm's Manila Global Operations Center (GOC) to identify and coordinate remote-support opportunities for the DC office.
  • Conduct orientation sessions for new attorneys on effectively collaborating with their Practice Assistant.
  • Maintain knowledge of Firm software systems - especially, those required for PA competency.
  • Use discretion at all times and keep information confidential.
Qualifications
  • 5 years of supervisory experience, preferably in a law firm setting.
  • Excellent time management skills.
  • Ability to stay calm under pressure and when juggling multiple tasks.
  • Strong organizational skills with a focus on detail.
  • Professional presence.
  • Excellent judgment.
  • Outstanding communication skills, both written and oral.
  • Client service focus.
  • Team player with strong leadership and mentoring skills.
  • Self-starter, proactive and resourceful.
  • A high-school diploma is required; a bachelor's degree is preferred.
  • Fluency in English.
  • Foreign language capabilities a plus, but not required.
Location & Reporting
  • This role is located in our Washington, D.C. office.
  • This role reports to the D.C. Office Operations Manager.
