Position Summary
We are looking for an outstanding Office Manager to lead and participate in the daily administrative aspects of our Fishers office. The ideal candidate will be a hard-working professional with office management experience who can undertake a variety of support tasks and work comfortably under pressure. This person will be comfortable working with a high degree of attention to detail and discretion and must be able to identify effective ways to achieve better results. Delivering excellent service to the accounting team and the clients of the firm is the ultimate goal. Anyone performing in this role must have leadership skills, exceptional attention to detail, and strong communication skills, allowing for effective relationship-building at all levels.

The Office Manager will directly supervise the office's Administrative Assistant and Processing Assistant
Responsibilities
Administrative Leadership
- Provide leadership in organizing the office and assist associates in ways that optimize procedures
- Provide administrative support for members of the accounting staff, especially as it relates to client service
- Serve as a key connecting point for the Fishers office with administration leaders in the Muncie office
- Oversee client database maintenance for the Fishers office in concert with the accounting staff and key administrative team members in Muncie
- Oversee processing duties, including document assembly, filing, and client interaction
- Logging and scanning of various documents
- Actively participate in the process of billing and collection of client accounts
- Serve as the primary point of contact for select vendors for the Fishers office
Administrative Backup (support and aid the Administrative Assistant in Fishers for various tasks, such as)
- Track and maintain supply levels for postage, shipping, and labeling resources
- Prepare and process mail, faxes, and packages for proper delivery
- Coordinate an online shared calendar for all meeting rooms and assist in scheduling appointments
- Greet guests and answer a multi-line phone system
Education & Experience Needed
- A minimum of 5 years of recent office administration experience
- A high school diploma is required
- Strong computer application skills, including Microsoft Office Suite (Outlook, Excel, Word)
Knowledge, Skills, & Abilities Required
- Ability to maintain necessary confidentiality with all client and firm information
- Ability to complete work independently and adhere to scheduled deadlines and time budgets
- Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
- Ability to operate a multi-line phone system and route calls effectively
- Working knowledge of office equipment
- Thorough understanding of office management procedures
- Excellent organization and time management skills
- A team player with excellent communication skills
Compensation & Working Conditions
Whitinger & Company employees can expect competitive wages and benefits, including health insurance, life insurance, disability, paid time off, retirement plan with company match, and paid training. A typical work week includes 40 hours, Monday-Friday, 8:00 am to 5:00 pm. Additional hours will be necessary to complete special projects or meet specific deadlines, especially during tax season from January through mid-April.
Position Interacts With
This position will play a vital role between the Fishers office and the Muncie office. The Office Manager will have daily contact with the Member/Owner on site in Fishers, members of the accounting staff in Fishers, the Administrative Assistant, and management at Whitinger & Company. Direct contact with clients will happen regularly. Important connections for this role will be with the firm's Business Manager, Processing Manager, and Receptionist in Muncie.
