What You Will Be Doing

Serves as the primary point of contact for all DC office building related matters to include facilities management, office services, food service operation and security. Also serves as a point of contact for firmwide physical security protocols, risk management and the latest security technologies. Oversees the day-to-day management of all office services and facilities management functions. Monitors the performance of vendor agreements to include on-site food service, security, janitorial and detail cleaning. Ensures all Operations vendors, subject to firm-wide contracts, provide service in accordance with the terms of the agreements.

Assists with proactively supporting client service by actively participating in the firm's Service Excellence initiative. Ensures that staff members are providing quality service to internal members/departments of the firm as well as external clients and vendors by displaying professionalism via electronic and print correspondence, over the telephone and in-person and by encouraging an atmosphere that rewards a "can do" attitude.

About This Role

  • Directs and provides leadership to Operations and Facilities staff. Plans and delegates work assignments and makes decisions regarding employment, training and development, performance evaluations, salary recommendations and related staff issues.
  • Direct supervision of Facilities personnel and equipment.
  • Works with internal groups and external consultants to incorporate security protocols and latest security technologies as part of new office buildouts, short and long-term expansion spaces.
  • Regularly meet with onsite vendors such as office services, food service operator, janitorial services and security.
  • Communicates and coordinates with building property management team on day-to-day work, short and long-term projects to ensure minimal disruption to the business operation.
  • Assists with the preparation of annual capital expense budgets for the various Operations Department accounts within the DC office and operates within approved budget limitations
  • In conjunction with the Director of Operations, responsible for management and supervision of minor construction and renovation related projects.
  • Coordinates with the Director of Operations to oversee the maintenance of all office related furniture.
  • Responsible for contracts and budget in facilities area.
  • Ensure Ergonomic Assessments are performed and recommended equipment is deployed within firm standards.
  • Reviews and approves all vendor invoices for department and non- routine purchases.
  • Oversees office moves and set-ups for all attorney and business professional workspaces. Works with attorneys and staff as needed for specialty space requests such as short-term project requirements and case team support.
  • In conjunction with Meeting & Events team and Conference Services, oversees the set-up and execution of facilities-related logistics for internal and firm events.
  • Initiate and review maintenance programs for the office.
  • Assumes additional responsibilities as assigned.

Required Experience

Education:

High School diploma required. BA/BS preferred.

Experience:

5 years’ experience in Operations/Administrator role. Prior experience managing a support team required. Law firm management experience highly desired.
