Job Summary:
The Practice Administrator is accountable for delivering high quality, efficient and effective services for our Breast Center patients and families. Creates a positive and collaborative work environment while supervising the daily activities, patient flow, operations, clinical procedures and performance of the practice staff. Participates in short-term and long-range planning and business development.
Duties/Responsibilities:
  • Champions the US Radiology Way in daily activities
(35%) Patient Care
  • Greet patients, families, and visitors in a courteous and helpful manner
  • Ensures accuracy of patient data entered in the RIS
  • Participates in TOS collection of patient financial responsibility and works with front and back office team to reach monthly TOS goals
  • Ensures patient throughput by completing pre-visit patient care and on-site patient preparation activities as needed
  • Review RIS schedule to ensure appointments are scheduled accurately with appropriate blocks and flags
  • Acts as point of escalation for concerns and challenges from patients and referring physicians
(40%) Staff and Center Management
  • Develops and fosters referring physician relationships
  • Maintains positive working relationships with joint venture partnerships, if applicable
  • Acts as owner of the P&L with responsibility for escalating issues and concerns
  • Develops, reviews, and implements action plans based on financial reporting to enhance center performance
  • Implements and manages the training and onboarding program for new associates
  • Participates in the staff planning and hiring process for new associates
  • Leads regular team and department meetings and associate one-on-ones
  • Monitors and approves timecards on a daily or weekly basis
  • Leads, initiates and participates in annual performance evaluations, development and performance management of associates
  • Establishes and maintains associate schedules to provide for planned time off, ensuring appropriate staffing levels and adequate coverage
  • Responsible for staff call-ins and determining appropriate staff coverage
  • Evaluates, implements and manages workflow and process improvements for the department
  • Ensures department has knowledge of company and department policies and corresponding procedures are in place
  • Supports associates ensuring highest level of patient satisfaction
  • Develops methods for measuring and monitoring team and department performance
  • Works with Center Manager on supply ordering for the Practice
(20%) Safety and Quality
  • Heads Safety Committee
  • Develops, implements, and maintains policies and procedures related to safety
  • Actively maintain and report on key quality metrics as needed and defined for process improvement
  • Attends Windsong Health Medical Alliance Management meetings including but not limited to Multidisciplinary Tumor Conferences, and General Windsong Health Medical Alliance meetings
  • Develops, implements, and maintains policies and procedures, process flow and educational programs for Windsong Breast Care as related to the NAPBC Accreditation
  • Supports Windsong Breast Care Steering Committee and interdisciplinary team regarding accreditation standards and areas of concern and action
  • Maintains NAPBC accreditations, including but not limited to all required documentation and submission, facilitating NAPBC site visits and accreditation renewal procedures.
  • Facilitates and ensure processing of annual reporting on MIPS measures specific to Windsong Radiology and Windsong Breast Center
  • Oversees and maintains OSHA logs as applicable
(5%) Completes other tasks and projects as assigned
Required Knowledge, Skills and Abilities:
  • Knowledge of and adherence to company policies and protocols
  • Knowledge of and adherence to HIPAA and safety guidelines
  • Knowledge of basic level computer skills
  • Skill in organizing and prioritizing work and following assignments through to completion
  • Skill in written and verbal communication

Education and Experience:
  • 5 or more years of Women’s Health Experience and/or Professional Nursing experience. Patient care coordination in a medical office or experience in oncology or palliative care setting preferred.
  • 1 or more years’ experience Healthcare Compliance or Accreditation experience
  • Experience with Microsoft Office; including excel
