Description

JOB SUMMARY:

This role provides administrative support to the CFO and senior leaders. The ideal candidate must exhibit strong organizational ability, attention to detail and the ability to multitask. In addition, they must be able to demonstrate a professional and friendly demeanor when interfacing with management & team members. Remote work is not available for this position.

JOB QUALIFICATIONS

Education:

  • Associate degree or min of 2-3 years’ experience as an administrative assistant.

Skills:

  • Detail–oriented, responsible, extremely well organized
  • Advanced PC skills (Proficiency in Microsoft Office applications including Word, Outlook, Excel, & PowerPoint)
  • Excellent written/oral communication skills
  • Proper English usage, spelling, grammar and punctuation
  • Ability to handle multiple tasks simultaneously
  • Strong sense of urgency, adaptability, flexibility and resourcefulness
  • Good interpersonal skills
  • Must maintain confidentiality.
  • Knowledge of business office operations.

Requirements

RESPONSIBILITES

  • Manages calendars and schedules appointments for C-Level executives.
  • Distribute/prioritize office mail.
  • Exercise cost control and reduction measures where applicable.
  • Screens incoming calls and correspondence and responds independently when possible.
  • Organizes programs, events, meetings or conferences by arranging facilities and caterers,
    issuing information or invitations, coordinating speakers and controlling event budgets
  • Prepares agendas, notices, minutes, and resolutions for corporate meetings.
  • Takes, composes, and prepares confidential correspondence, reports and other complex
    documents.
  • Performs complex and confidential administrative functions including developing or written correspondence. Responds to routine external correspondence. Types memos, purchase requisitions, payment requests and other department forms and documents.
  • Copying, faxing and distributing material
  • Prepares monthly expense reports
  • Maintains confidentiality of all corporate, personnel and research matters.
  • Greet guests and clients.
  • Assist CFO with variety of duties:
    • Tax filing
    • Issuing insurance certificates
  • File management and document control
  • Vet subcontractors
  • Back up to front desk receptionist
  • Other duties as needed

ESSENTIAL PHYSICAL-MENTAL FUNCTIONS AND ENVIRONMENTAL CONDITIONS

  • Able to properly carry 25 pounds or less occasionally. The highest point of any lift - overhead; the lowest point of any lift - the floor.
  • Able to move 1-5 pounds or less occasionally.
  • Able to sit and/or stand 2 hours continuously, up to 8 hours per day.
  • Must be able to manipulate small objects with close eye-hand and arm-hand coordination for entire shift.
  • Able to perform motor skills such as grasping, finger manipulation, pinching, bending, reaching out, twisting, turning, reaching up, wrist turning/torquing for 2 hours continuously.
  • Able to effectively communicate with customer base, both orally and in writing.
  • Able to see objects closely and perceive depth continuously.
  • Able to understand, relate to, and apply concepts on a continuous basis.
  • Able to remember multiple tasks / assignments given to self and others over long periods of time continuously.
