We are hiring a motivated People Operations Manager with a human resources background to manage the employee life cycle and continue to enhance our people systems. We are looking for someone who can balance supporting our business objectives while providing a top-notch experience for our talented team of architects, builders, and craftspeople.

The People Operations Manager will provide support to Woodhull in the following areas:

GENERAL HUMAN RESOURCES

  • Maintain accurate and up-to-date employee records and HRIS systems
  • Monitor and report on HR metrics, providing insights to senior management
  • Stay current with industry trends and best practices in HR management
  • Make sure employees are properly classified by auditing and updating job descriptions

RECRUITMENT

  • Collaborate with department managers to develop effective recruitment and hiring strategies
  • Serve as a first point of contact for job inquiries
  • Manage and coordinate the interview and hiring process
  • Maintain a database of applicants to pull from for current and future openings
  • Answer questions about Woodhull benefits and total compensation offerings
  • Prepare offer letter and edit as needed - assist in any negotiations related to the offer of employment and ensure equity and compliance within these negotiations.

ONBOARDING/OFFBOARDING

  • Set up accounts for all new employees and coordinate all onboarding steps to ensure a smooth first week and ongoing Woodhull orientation in the first months.
  • Acquire any hardware or other materials that a new employee needs - in collaboration with Office Coordinator
  • Manage benefits enrollment and offboarding
  • Be the first point of contact for voluntary and involuntary terminations - administer offboarding checklist
  • Hold exit interviews and track trends in terminations

TIME AND PAYROLL ADMINISTRATION

  • Gather hours for bi-weekly payroll processing as well as process payroll - in tandem with Controller
  • Manage and monitor PTO accruals and holiday usage

COMPENSATION AND BENEFITS ADMINISTRATION

  • Administer compensation and benefits programs, including salary structure, bonus plans, health insurance, 401k, and all other company benefits
  • Manage annual renewal and census requirements - in collaboration with our benefits broker
  • Audit enrollment of benefits and track benefit usage on a quarterly basis
  • Coordinate annual ACA reporting
  • Track tool stipend usage
  • Continuously work to offer the strongest total compensation package in our job market

POLICY IMPLEMENTATION AND COMPLIANCE

  • Perform an annual audit of our Employee Handbook
  • Manage and resolve employee relations issues, ensuring a fair and consistent approach
  • Ensure compliance with labor laws and regulations, updating policies as needed
  • Manage tax documentation and i9 forms for all new and existing employees

HEALTH AND SAFETY

  • Be the first point of contact for any workplace injury reporting with MEMIC
  • Manage OSHA requirements and compliance
  • Coordinate with department heads and managers after a workplace injury occurs
  • Take steps to implement injury prevention strategies and foster a culture of safety

TRAINING AND DEVELOPMENT

  • Ensure state required trainings are completed - such as workplace harassment training
  • Oversee the development and execution of training and development initiatives to enhance employee skills and performance (Woodhull Learning Units).
  • Develop and implement employee engagement strategies to enhance job satisfaction.

PERFORMANCE MANAGEMENT

  • Navigate questions and considerations related to performance management
  • Manage quarterly and annual performance management systems
  • Ensure proper documentation and storage of employee performance-related content
  • Develop and distribute surveys to understand the wants and needs of our employees

COMPANY CULTURE

  • Prepare and distribute a Digest to keep employees informed of one another’s work
  • Manage and supply inventory of company gear for all team members and all seasons
  • Plan events that celebrate our employees - in tandem with Office Coordinator

The qualifications we are looking for are:

  • Bachelor’s Degree in Human Resources, Business Administration, SHRM certification or equivalent.
  • 5 years of human resources management and/or business administration experience.
  • Confident using HRIS system (Paylocity or similar) - experience administering benefits and running payroll
  • Recruiting experience in the architecture/construction/engineering industry - preferred but general recruitment experience also welcome
  • Solid knowledge of Federal and local State Employment laws to include (but not limited to) ADA, FMLA, OSHA, FLSA, EEOC
  • Proficient using Google Suite - at minimum comfortable using Drive, Docs, and Sheets
  • Clear communicator with proven track record of managing the full employee lifecycle
  • Strong interpersonal and conflict resolution skills
  • Experience managing an annual performance review program
  • Analytical approach to compensation planning
  • Experience managing administrative end of technology systems
  • Strong organizational skills and attention to detail with ability to meet deadlines
