Primary Responsibilities:
- Subcontractor and Vendor Engagement:
o Source and manage subcontractors for repairs and maintenance tasks.
o Coordinate cleaning services and staff and reactive responses to uphold cleanliness standards.
o Oversee the procurement of qualified repair subcontractors to prepare properties for lease or sale.
- Job Costing and Budgeting:
o Generate estimates for repairs and maintenance, ensuring adherence to budgetary constraints.
o Establish and manage C.A.M (Common Area Maintenance) budgets.
o Accurately manage costs associated with lease terms and monitor C.A.M costs against budget allocations.
o Identify opportunities for cost-saving measures and implement efficient maintenance policies.
o Explore and implement software solutions to streamline facilities management processes and enhance productivity.
- Personnel and Tenant Management:
o Ability to work effectively with and manage others as part of a team is essential. The Facilities Manager will coordinate with maintenance staff, subcontractors, vendors, and management to ensure seamless operations and tenant satisfaction.
o Lead and direct staff to execute maintenance programs effectively.
o Establish maintenance schedules for all systems, ensuring compliance with state/federal regulations and contractual obligations.
o Schedule and coordinate access for repair work with tenants and subcontractors.
o Maintain open lines of communication with tenants, subcontractors, and management to ensure high customer satisfaction.
o Respond promptly to emergency calls and emails, prioritizing tasks effectively.
o Effectively communicate daily work records and job assignments.
o Prioritize work assignments, ensuring consistent review and professional management of all facilities.
o Secure Request for Proposals (RFPs) for projects as directed.
o Complete residential and commercial property turnover checklists on each vacancy.
o Maintain accurate assignment records and provide weekly updates on progress and completion.
o Proficiency in budget management, invoicing, and financial reporting.
o Ability to navigate lease terms and accurately manage associated costs.
o Familiarity with property management software and tools for efficient administration.
Required Skills and Qualifications:
- C.F.M certification is preferred.
- Proven experience in facilities management, subcontractor/vendor engagement, and budget management.
- Strong leadership skills with the ability to lead and direct staff effectively.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and property management software.
