General Description: This position assists in the implementation of three academic exchange programs funded by the U.S. Department of State: Global Undergraduate Exchange Program, Fulbright Specialist Program, and the IDEAS Program. The Program Associate - Academic Exchange provides support to programs which serve undergraduate students and professionals engaged in educational programming in the United States and abroad, as well as U.S. higher education institutions building their study abroad capacity.
Responsibilities - Contribute to the successful implementation of three academic exchange programs funded by the U.S. Department of State.
- Support program application processes including conducting eligibility checks and helping coordinate review panels.
- Assist with in-person and virtual program orientations, webinars, and workshops by preparing materials, organizing logistics, and assisting with sessions.
- Arrange travel and logistical arrangements (e.g., international and domestic flights, hotel stays, meals, and ground transportation, etc.) on behalf of participants.
- Enroll participants in health insurance and assist participants in the claims process.
- Process financial documents such as invoices, expense reports, and payment requests.
- Develop compelling social media posts for program websites.
- Prepare and revise documents, reports, and presentations using word processing, spreadsheet, database, design, and presentation software.
- Provide surge support on other program activities, as assigned.
- Contribute to an organizational culture of continuous learning through rigorous program monitoring, data tracking, donor and MERL reporting, research, and reflection to ensure strong outcomes.
- Contribute to organization's business development targets through ongoing program implementation, funder relationship building, and through other means as directed.

Requirements - Bachelor's degree and one year of related professional experience;
- Must be authorized to work in the location where this position is offered;
- Detail oriented with excellent organizational ability;
- Ability to solve problems and work effectively under pressure;
- Professional written and oral communications skills;
- Experience managing multiple tasks concurrently and successfully, particularly under strict deadlines;
- Experience in an intercultural setting, whether from personal, work, or study experience preferred;
- Proficiency with Office 365 suite;
- Fluency with the use of various social media and video conferencing platforms;
- Demonstrates a curiosity about World Learning as a whole, with the aim of being able to effectively represent the organization to external audiences commensurate with the position; and
- Commitment to fostering diverse, equitable and inclusive practices in program implementation and monitoring practices and challenging practices which may be exclusionary.
