The Project Assistant will support the management of multiple projects within an Academic Medical Center environment, demonstrating proficiency in understanding its complexities. The Project Assistant be responsible for assisting with critical thinking and problem-solving across various affiliates.
MINIMUM QUALIFICATIONS:

CORE DUTIES AND RESPONSIBILITIES:
1. Provides administrative assistance for the P&T process for WVU School of Medicine faculty. Collaborates closely with leadership across all levels to ensure timely and efficient handling of the process from initiation to completion. Responsibilities will include managing communications among involved parties, distributing information, scheduling meetings, and ensuring compliance with deadlines set by the WVU Provost’s Office.
2. Serves as a resource and contact for SOM faculty leaders and departmental administrators relative to the WVU SOM P&T function
3. Serves as the primary administrative liaison for the WVU Digital Measures system for SOM faculty.
4. Works closely with the WVU Digital Measures program leader and SOM departmental contacts to ensure that faculty information in the system adheres to established WVU guidelines and remains current and accurate.
5. Delivers advanced training sessions on the WVU Digital Measures system to new departmental employees.
6. Assists in the SoM quarterly requests to the Provost for faculty recommended for Emeritus faculty status upon retirement, as per faculty/department requests. Ensures accuracy and timely submission in accordance with institutional guidelines and policies under the direction of higher authority.
7. Works in collaboration with the HSC/SOM Office of Communications to ensure that all website content remains current and adheres to WVU guidelines.
8. Assists the WVU SOM Associate Dean – Faculty and Practice Plan Affairs with the timely preparation, review and dissemination of SOM faculty offer letters, inclusive the processing advance rank/tenure requests.
9. Responsible for the administrative oversight of the annual SOM Committee lists and process. This includes communication with SOM Leadership in soliciting nominations, providing all necessary communications, presenting the proposed lists to SOM Dean’s Council for approval and ultimately posting the approved lists on the SOM website.
10. Provides administrative oversight for the WVU SOM Faculty By-laws process. The process requires that by-laws are reviewed bi-annually. Process includes dissemination of information, preparation and distribution of communications among all involved parties and ultimate posting on the approved and updated by-laws on the SOM website.
11. Responsible for the coordination of the mandated WVU SOM Spring Faculty meeting (May). This includes coordinating a date, securing a venue (live or virtual), working with SOM leadership to create meeting agenda. Works with SOM Communications and Marketing to promote the meeting ensuring faculty are aware of the date, time and agenda.
12. Creates workflows aimed at enhancing the performance and efficiency of the SOM Dean’s Office, supporting its operational objectives. Identifies and addresses the reporting requirements of the School of Medicine, analyzes available data, engages relevant stakeholders, and takes proactive steps to deliver effective tools to support their needs.
13. Facilitates the annual West Virginia State Medical Association (WVSMA) Survey process. Coordinates distribution of the survey through SOM ENews by working in collaboration with the HSC/SOM Office of Communications.
14. Facilitates, as guided by the Assoc VP for HSC Academic Affairs, SOM endowed faculty appointments.
