Job Summary:Position is responsible for performing work of confidential nature; accurately and timely electronically filing and/or filing designated employment documentation, purging files (current and termed), light data entry, assisting with coordinating employee functions and other duties as assigned.
The Details:Position Type: Part Time, Year-Round
Pay : $19.00
Schedule:
  • 3 days a week ( Between Monday - Friday )
  • 8:00 AM to 5:00 PM
  • Occasional support of company functions on an evening or on weekend day as needed.

ResponsibilitiesResponsibilities:
  • Fully understand and support Xanterra Mission Statement, Core Values and Hospitality Standards and Cultural Pillars.
  • Allocates appropriate time to consistently perform department’s electronic filing and/or filing designated employment documentation properly on a daily basis. Filing includes maintaining new hires, rehires and current employee electronic files (personnel and confidential) and preparing and purging termed files. May sort documents, both alphabetically and in chronological order and then places appropriate electronic documents in either the employee’s current personnel/confidential file or in the respective termed file.
  • Adheres to the Company’s file retention policy by annually purging and consolidating of terminated employee files; removing appropriate documents selected to be shredded or deleted under the direction of the HR Manager or Director of HR. Properly identifies items slated to be shredded or deleted.
  • Runs monthly reports for Birthday Card program; timely distributing Birthday Cards to various department heads for GCR. May Assist with The Grand and Tusayan Trading Post birthday cards.
  • Assembles and distributes Employee of Month and Manager of Quarter awards, distributes to appropriate department head in timely manner and updates Xpress page and sends company email announcement.
  • Manages tracking of Service Awards program monthly and communicates value of award to accounting and the employee.
  • Maintains inventory of department supplies and works with HR Coordinator to order supplies, while keeping supply closet organized. Office space and file room are also expected to be kept organized and orderly, minimizing clutter on a consistent basis.
  • Greets internal or external customers and directs them to the proper staff member for answers to questions that person may be qualified and experienced to properly respond.
  • Assists in processing annual driver’s license background reports and tracks clear and considers under the direction of the HR Manager or Director HR.
  • Establishes tracking method to perform audits of employee files, ensuring all files and documents are filed accurately with electronic naming convention.
  • Updates the HR department chemical inventory list and Safety Data Sheet (SDS) notebook. Updates Risk Department on HR’s chemical inventory annually.
  • Orders labor law posters no later than the month of December for new year. Posts new posters within the first month of the new year. Responsible for at least an annual audit if not more audits of bulletin boards at GCR (Loco Shop/Flagstaff), The Grand Hotel and Tusayan Trading Post to ensure required documents under law are posted.
  • Posts and distributes monthly LIVE LIFE Campaign posters to respective department’s LIVE LIFE Communication Centers.
  • Fills in as HR Coordinator (data entry) position; (greets external and internal customers, processes applicants in iCIMs to posted positions and moves them through ATS system, performs data entry, provides appropriate forms when requested and creates new hire packets.
  • Assists with employee related functions and events such as Employee Appreciation Dinner, Service Awards Banquet, Employee Picnic, Health Fairs & Vaccine Clinics and provides recommendations to committee regarding employee events.
  • Updates and maintain Xpress Employee intranet. May assist with The Grand and Tusayan Trading Post.
  • Cross trains to support roles of HR Coordinator, Talent Recruiter, Learning and Development Coordinator, or HR Analyst as time allows.
  • Other duties as assigned.
QualificationsMinimum Qualifications:
  • Must have previous computer experience with a good working knowledge of Microsoft Office applications (Word, Excel and Outlook).
  • Previous experience working in an office or administrative setting.
  • Previous experience handling highly confidential information.
  • Must possess a valid and clear Arizona Driver’s license and comply with GCR Special Instructions and the Xanterra/GCR Vehicle Policy.
Preferred Qualifications:
  • Knowledge and experience with filing and file retention and the ability to accurately maintain employment, training and other records with general Human Resources office procedures and best practices.
  • Knowledge and experience with Cloudsuite.
  • Bi-lingual (English/Spanish) language skills a plus.
Physical Requirements:
  • While performing the duties of this job, the employee is constantly sitting, twisting, eye/hand coordination, manual dexterity, handling, and wrist motion. Occasional standing, walking, balancing, bending/stooping and climbing.
  • Trunk Strength - The ability to use your abdominal and lower back muscles to support part of the body repeatedly or continuously over time without giving our or fatiguing.
  • Static Strength-The ability to exert maximum muscle force to lift, push, pull or carry objects.
  • Occasionally carrying, bending, stooping, lifting, pushing, and pulling items weighing up to 50lbs.
  • Occasionally lift and carry sacks/boxes of files weighing up to 75 lbs.
  • Constantly listening, hearing, and seeing.
  • Will be required to sit for long periods of time and occasionally walk, climb stairs and walk on uneven surfaces.
