Pay Range: $28.67 - $36.36 per hour (Non Bargaining Pay Plan B25, Step 1-13)
Hiring Range: $28.67 - $30.43 per hour (Non Bargaining Pay Plan B25, Step 1-4 DOQ

There is one Extra Help, Intermittent-On Call Office Supervisor I position with the Yakima County Law Library. This position is responsible for providing general administrative and patron support to the Law Library on a predetermined schedule and as needed.

Essential Duties:

Oversees the operation and administration of the Yakima County Law Library. Opens and closes facility as scheduled and by appointment if needed. Organizes and returns library materials to the shelf, maintains the patron area.

Assists / directs patrons to the section of library / materials for the patron to obtain information on the legal topic they are researching. Responds to patron questions regarding the book / research catalog availability and resources. Receives, processes and updates library resources into collection. Responsible for physical inventory of library resources and monitors collection for missing items.

Enters data into a computer (Workday, QuickBooks, Excel); maintains records such as billing, revenue and/or expenditure; receipt books. Works with Yakima County Financial Services to process accounts payable and accounts receivable, payroll timesheets and budgeting. Assists in the preparation and monitoring of budget to be reviewed by the Board. Responsible for the maintenance, update and technical support including training of patrons on department specific software (Westlaw) and website. Creates, distributes and communicates promotional and informational flyers regarding the Law Library and the services to the legal community and general public.

Participates in Board meetings by taking and transcribes minutes, provide usage and materials requests for replacement or purchase.

Works with President to create Board Meeting agendas.

Prepares reports such as patron usage reports, catalog inventory and budget reports; gathers, compiles, and presents report data to the Board. Maintains office equipment and supplies. Performs other duties as assigned.

Education and Experience:

Associates Degree or two year technical certificate in Business Administration or Legal Assistant AND Four (4) years of related work experience; OR any equivalent combination of training and experience that would provide the required knowledge, skills and abilities to successfully perform the essential duties of the job.

Required:

  • Successful completion of a criminal background investigation and general employment verification.

  • Experience working as a legal assistant or performing research

  • Experience with Excel and QuickBooks
  • Experience processing accounts payable and receivable, inventory

Equipment Used:

Personal computer using Microsoft Office Suite (Word, Excel, Outlook), financial management system (Workday and QuickBooks), telephone, copier/scanner, and other standard office equipment, step stool, passenger vehicle.

Working Conditions: This position is rated asSedentary Work;

Moving/mechanical parts, may be required to drive short distances to run errands. bending carrying, handling, lifting, pulling, pushing, reaching, sitting, standing, walking, fingering, balancing, crouching, kneeling, hearing, talking, and visual activity.

Position requires moving large volumes of books that a require higher level of physical activity that includes reaching, stooping and bending at times.

Position is required to work alone and independently in a quiet environment. Interaction with patrons and others is limited.

Position may be subject to requests for legal advice and must remain aware that these requests are outside the scope of work and responsibility of the position.
