Title: Administrative Assistant to the Activities Director
Job Description: Provides general secretarial support for the High School Activities Department.
Criteria:
A. Education Level: High school diploma and one to two years related experience and/or training; or equivalent combination of education and experience. B. Experience Desired: One to two years in a similar position C. Physical Requirements: Constant hand-eye/mind-eye coordination, hearing; intermittent keyboarding, use of wrists, hands, fingers, speaking, typing and writing. Frequent filing, sitting, standing and walking. The ability to communicate verbally and in writing is also required. Assisting with the set up for various events, including carrying items of various weight. D. Other Requirements: Under only limited general supervision, conducts the day-to-day operations of the Activities Office. Applicant must possess a high degree of responsibility initiative and ability, plus the usual secretarial capabilities. Ability to maintain confidential information.
Essential Functions and Duties:
1. Performs a variety of executive support tasks that are highly confidential and sensitive. 2. Demonstrates a high level of communication skills in writing, grammar, oral communication and listening. 3. Possesses advanced Microsoft Office skills, primarily Word and Excel. Also has knowledge on how to create/use Google Docs/Surveys. 4. Demonstrates strong public relations skills, such as proper telephone etiquette, customer service, and using patience, composure & diplomacy in dealing with a variety of situations. 5. Has knowledge of district policies and procedures. 6. Performs responsibilities in a self-motivated manner; certain job functions need to be completed on an annual basis without being reminded. 7. Must be highly organized, able to handle multiple tasks with deadlines and have the ability to tolerate interruptions. 8. Able to maintain accurate records that can be accessed quickly. 9. Utilizes strong people skills in developing and maintaining professional relationships with administration, teaching staff, parents and students. 10. Functions in a work environment that requires many pending tasks in process at all times. 11. Responds positively to unexpected changes in work tasks. 12. Handles and distributes mail. 13. Processes incoming communications & correspondence for the Activities Director. 14. Prepares team schedules and rosters, posting these and other required items to the SDHSAA website. 15. Prepares various contest programs, vouchers, purchase orders and forms. 16. Coordinates the logistics/records of the annual athletic physicals process. 17. Records activity student eligibility records for the SDHSAA. 18. Coordinates activity department inventory. 19. Places orders for activities department freight and checks it in upon arrival. 20. Performs other duties and support tasks as assigned by the Activities Director.

Receives Guidance From: High School Principal, Assistant High School Principal Working conditions are mostly inside, but there are times when assistance is needed to set up at outdoor activities.
