YMCA of Greater Houston is Hiring an Office Clerk for Preferred Communities (no language requirement) Near Houston, TX

YMCA International Services is a unique branch of the Y of Greater Houston and seeks to meet the needs of Houston’s significant refugee and immigrant communities. We provide comprehensive programs that focus on building human assets and fostering self-sufficiency. As a Preferred Communities (PC) Clerk on our team, you will play a prominent role in safeguarding client information in physical files and following the internal SOP to review the quality of file contents and fidelity to funder standards and expectations.

Duties/Responsibilities 

The Office Clerk for Preferred Communities will primarily assist the Quality Assurance Auditor in ensuring that records comply with funder requirements and that all documentation is accurate and recorded on time.

  • Be familiar with Preferred Communities compliance guidelines and file organization.
  • Update the Master Client Info Sheet with enrollment data
  • Monitor accuracy of data entry and documentation for file maintenance
  • Compare the funder’s standard of documentation against files to ensure compliance
  • Update the calendar with new appointments, notices, deadlines, etc.
  • Communicate clearly and effectively with team members about deadlines, corrections, and updates
  • Check and distribute mail that pertains to PC clients
  • Update case notes when files are periodically reviewed.
  • Report suspicious and inappropriate behaviors and policy violations
  • Follow mandated abuse and incident reporting requirements
  • Meet timelines and deadlines related to supporting systems and employee compliance. Examples include but are not limited to Kronos Workforce Ready for review and approval of timesheets
  • Other duties as assigned including occasional food pantry rotation.

Requirements

  • Excellent written and verbal English communication skills
  • Detail-oriented
  • Wide breadth of knowledge in Microsoft applications, including Excel, Outlook, and data entry
  • Team player, adapted to a fast-paced environment, self-starter, skilled listener
  • High School Diploma, some college, and relevant professional experience

  • 20% improvement in minimum monthly case notes from the current rate
  • 75% improvement in timely case closures
