YMCA of Metropolitan Chicago is Hiring an Illinois Works - Data Coordinator Near Chicago, IL

YMCA of Metropolitan Chicago was recently awarded a grant from the State of Illinois to offer construction pre-apprenticeship programs at three YMCA Hubs - South Side (Chicago), Fry Family (Naperville), and Buehler (Palatine). This program will serve as a cornerstone of the association's Economic Equity Institute.
YMCA of Metropolitan Chicago's IL WORKS team is seeking a Data Coordinator to support its program at the South Side YMCA in Woodlawn. This critically important support role reports to the YMCA's Program Director of IL Works. This role will frequently interface with the YMCA's Evaluation, Grant, Audit, and Finance Teams as well as the state's IL WORKS Team.
Salary starts at $48,000 per year with full-time benefits and opportunities to grow within the organization
The Data Coordinator is responsible for the accurate and timely collection of data required by the State of Illinois to demonstrate the YMCA's full compliance with the IL Works grant. This hybrid position will be based at the South Side YMCA with travel required to the Crown Family YMCA Center and other locations as well as occasional evening and Saturday hours.

Key Responsibilities:
  • Collect and organize program applications
  • Ensure accurate completion of all intake forms, including but not limited to applications, assessments, interview score sheets, and various evaluation forms
  • Ensure accurate entry of all intake data into the Illinois Works data system as well as any necessary YMCA internal systems
  • Maintain an accurate database of all cohort participants to support and streamline communication
  • Maintain integrity and confidentiality of all information collected through Illinois Works
  • Coordinate with other IL Works program staff including instructors to ensure timely, accurate, and complete collection of key data
  • Work closely with accounting and grant audit team to ensure accurate entry of data and timely state voucher requests
  • Create and manage internal spreadsheets to track grant compliance requirements including daily attendance, per module attendance requirements, weekly make-up sessions, and experiential learning opportunities
  • Ensure all required information is accurately entered into the IL Works database on a daily basis
  • Manage all necessary administrative duties for the program including procurement and expense reports
  • Attend public events related to the program including recruitment events, job fairs, and conferences
  • Participate in all IL Works required trainings including in-person trainings
  • Support other IL Works team members as needed including in evenings and on weekends
Qualifications and Attributes:
  • Agility and flexibility with the ability to thrive in a fast-paced, start-up environment where processes and procedures are new and can frequently shift as lessons are learned
  • Experience, familiarity, and ease in working with data collection and entry as demonstrated through prior work or academic experience
  • Strong attention to detail and a commitment to quality and excellence in work product
  • Team spirited, self-starter who is able to work collaboratively but also able to perform tasks independently with minimal direct supervision
  • Demonstrable commitment to the mission and vision of the Economic Equity Institute
  • Sense of humor a must
Deliverables:
  • Complete weekly and monthly reports regarding participants program status
  • Accurate and timely entry of all cohort members data at every step in the program - from application to follow up.
  • Create and maintain hard copy file folders for IL works program participants and ensure all required information is forms are included in these folders
  • Provide accurate data to support timely requests by our finance team for grant reimbursement
  • Strong positive relationships with program staff, other key YMCA staff, and IL Works team
Child Abuse Prevention - Support the YMCA's commitment to child abuse prevention by:
  • Reporting any items that may provide a health or safety hazard to staff, members, or guests to your supervisor
  • Following all policies and procedures related to keeping children safe in our facilities and programs, including those related to the monitoring and supervision of children
  • Reporting any suspicious behavior and violation of policy and procedures to your supervisor
  • Completing all child abuse prevention training as required
