YMCA of Southeastern NC is Hiring a YOUTH SERVICES ADMINSTRATIVE SPECIALIST (ASSOCIATION OFFICE) Near Wilmington, NC

Job Title: Youth Services Administrative Specialist
FLSA Status: Full-Time, hourly
Pay rate: $16.50 - $19.00/hour
POSITION SUMMARY:
The YMCA of Southeastern North Carolina is seeking a Youth Services Administrative Specialist. Under the supervision of the Vice President of Youth Services, the Administrative Specialist will play a critical role in the successful operation of Youth Services childcare programs. The Administrative Specialist will carry out daily administrative and operational responsibilities while maintaining excellent communications with parents, community partners, and staff. The individual must have excellent oral and written communication skills, organizational skills, and ensure an atmosphere of professionalism and friendliness. This role will involve answering phone calls, responding to emails, communicating with current and future program participants by sending out newsletters, posting on the Youth Services social media pages, sharing stories, and developing marketing flyers and media. This is a newly created position and the Youth Services Administrative Specialist will need to have the ability to adapt job responsibilities, oversight, and have a creative vision so that this role best supports the growing needs of the Youth Services branch.
Essential Functions
  • Promote an inclusive, welcoming, and respectful environment that embraces the diversity of all participants and staff.
  • Provide excellent customer service by answering phone calls and responding to emails in a professional, timely, friendly manner.
  • Use YMCA’s operating system to assist families in registering for Youth Services programs, processing payments, and more.
  • Serve as Youth Services Brand Champion.
  • Attend monthly Youth Services marketing meetings.
  • Develop and send out programmatic newsletters.
  • Share Y stories, program updates, upcoming events, pictures, and more on the Youth Services social media pages
  • Capture, collect, and organize photos so that they can be shared in newsletters, social media, etc.
  • As needed, support childcare sites by filling in as a camp, afterschool, or preschool counselor and assisting staff in implementation of programming and ensuring our staff to student ratios stay intact.
  • Attend Youth Services staff meetings.
  • Assist and attend Youth Services events (Healthy Kids Day, Father Daughter Dance, Mother Son Dance, Fall Festival, and more)
  • Support and actively participate in Annual Campaign.
  • Perform all other tasks as assigned.

QUALIFICATIONS:
  • Associates degree or two years equivalent work experience. Bachelor’s degree in communications, marketing, or related field preferred.
  • 1-3 years of Administrative experience, working with community members, staff, and volunteers.
  • At least 21 years of age and / or training significant for the YMCA program.
  • CPR, First Aid, AED certifications within 30 days of hire date.
  • One year experience working with afterschool and summer camp programs in a developmental setting preferred. Supervisory experience is a plus.
  • Ability to work well with people, including the ability to use knowledge of programs to encourage families to register for programs as well as the ability to de-escalate and problem solve any issues that families may bring to light, and a sensitivity to the needs of children and families.
  • Computer skills and knowledge of windows, excel, publisher, word, constant contact, and canva at an intermediate or advanced level.
  • Ability to correctly and effectively communicate in written and oral English.

Ability to lift 30 pounds.
