Job Description

This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living, and social responsibility.

Serves on the CEO’s senior leadership team. Oversees and manages financial matters and investments, including generating, maintaining, and reporting the financial activities of the association. Provides information as required by the YMCA Finance Committee and auditors. Responsible for the daily operations of the business office, financial activities, and insurance activities (including annual renewal paperwork and reporting/managing any insurance claims). Ensures that grant and contract invoicing is completed timely and accurately. Provides strategic direction and leadership for YMCA business operations and initiatives. Recommends related policies and ensures their implementation .

Qualifications

1. Bachelor’s degree in accounting or related field preferred or Associate’s degree in accounting or related field plus at least two years accounting experience (or equivalent).

2. Three or more years of fiscal management experience, preferably in a YMCA or other nonprofit agency.

3. Strong verbal and written communication skills and the ability to relate professionally with team members, volunteers, Y members/participants and community leaders.

4. Demonstrated broad knowledge of accounting principles, methods, procedures, general ledger and accounting functions, and the ability to apply such to varied accounting transactions using Daxko Accounting Software. Ensure financial reporting/procedures follow GAAP.

5. YMCA Team Leader or Multi-Team/Branch Leader certification preferred.

6. CPR and First Aid certifications may be required.

7. A thorough dedication to the Mission of the YMCA is paramount. A clear understanding of and dedication to the confidential nature of the record, particularly personnel records

8. Sound working knowledge of spreadsheets and word processing.

9. Excellent problem-solving skills.

10. Must be highly organized and have the ability to work with confidential matters.

Essential Functions

1. Supervises business office support team members to ensure sound operations through accurate coding, inputting, and payment of YMCA expenses, timely invoicing, and collection of grant and contract payments, and timely importing of information from Daxko Operations into Daxko Accounting.

2. Develops, manages, and monitors assigned operating budgets to meet or exceed targets. Recommends adjustments to the budget to ensure a balanced operation and submits reports on current operations.

3. Provides staff support for assigned board committees and Action Teams, including but not limited to the Finance Committee and Risk Management Board Action Team.

4. Oversees the Annual Budget process and timeline to ensure that the YMCA’s annual budget is reviewed and approved by the Finance Committee in November and by the Board of Directors at the December Board meeting. Works with the leadership team and department directors to develop the annual budget for the association and presents the annual budget to the Finance Committee and Board of Directors for approval.

5. Schedules the annual audit and 990 so that it is completed by the end of May; prepares records for the annual audit and assists auditors as requested/required. Files extension with the IRS and the MS Secretary of State as needed to ensure compliance with IRS guidelines and the Secretary of State.

6. Responsible for all aspects of bank drafts, accounts receivable, and accounts payable.

7. Oversees the renewal of YMCA loans maturing and acquiring competitive interest rates for approval by the CEO and Board of Directors.

8. Manages the YMCA’s various insurance programs (property, vehicle, General Liability, and employee benefits) once those programs have been established by the CEO and Insurance Agents. Duties include payment schedules and payments, filing and tracking of claims, policy renewal notification, and associated applications, COBRA notification, etc., for insurance programs including “The Package,” Workman’s Compensations, Unemployment, etc.

9. Generates and maintains all financial records, including reserve, operating, endowment, and capital funds.

10. Reports to the Finance Committee and the Board of Directors every 3 months the surplus/deficit of each YMCA department/location center.

11. Manages the YMCA’s Retirement Program (YERDI) reporting and payments. Ensures that reports are uploaded and amounts paid immediately following each payroll processing. Ensures annual reporting requirements for YERDI are completed and filed by the deadline.

12. Assists the Leadership Team and Program Directors in developing budgets for new contracts/grants, programs, and expansion efforts. Establish general Ledger PCS codes to capture grant/contract-related expenditures, payments, and Receivables.

13. Prepares and submits Y-USA Financial Data by Y-USA’s established deadline to ensure compliance with Y-USA Membership Standards. Current Deadline for submission of Financial Data (including 990) is June 15th.

14. Prepares and submits annual renewal information to the MS Secretary of State to ensure compliance with the charitable organization guidelines. Current Deadline is May 15th or date of IRS 990 Extension.

15. Prepare monthly reports and analyses as required by the CEO.

16. Performs other duties as assigned .
